PPM Administrator
£12.80 per hour | Fully Office Based | Contract until February 2027
Location: Renfrewshire
I’m delighted to be supporting a long-standing client within the facilities and service sector who are seeking a proactive and detail-driven PPM Administrator to join their team. This is a fantastic opportunity to step into a busy, supportive environment where you’ll play a key role in keeping planned maintenance activities running smoothly and ensuring compliance across multiple contracts.
This role is ideal for someone who enjoys structure, accuracy, and working within a collaborative team,perfect for candidates with experience in administration, scheduling, compliance, facilities, or service-desk-style environments.
What You’ll Be Doing
You’ll be central to the smooth running of the planned maintenance function, responsible for:
1. Coordinating and monitoring PPM schedules
2. Ensuring all compliance documentation is accurate, up to date, and filed correctly
3. Processing financial transactions related to maintenance works
4. Tracking progress of purchase orders, parts, and documentation
5. Supporting contract/service managers with a variety of administrative tasks
6. Preparing reports and updates for internal teams and clients
7. Managing subcontractor and engineer documentation (timesheets, certificates, etc.)
8. Maintaining organised filing systems and ensuring records meet audit requirements
You’ll be part of a friendly, fast-paced team where communication, accuracy, and a proactive mindset are key.
What We’re Looking For
9. Strong administrative experience, ideally within FM, engineering, maintenance, or similar
10. Excellent organisational skills and high attention to detail
11. Confident using Microsoft Office and internal systems (CAFM experience a bonus)
12. Ability to communicate clearly with engineers, managers, and clients
13. A reliable, proactive, and positive approach to work
14. Someone who enjoys working fully on-site as part of a close-knit team
