We're looking for a naturally organised, thoughtful and enthusiastic Sales & Bookings Assistant to join our close-knit Head Office team - and help us shape an exceptional guest journey from the very first hello to the final goodbye.
About the Role
This is a guest-facing admin and sales support role - perfect for someone who loves fine details, smooth processes, and meaningful moments of connection. You'll work closely with our Sales & Bookings Manager, playing an integral role in:
● Looking after our corporate and meeting room guests across three beautifully individual venues
● Supporting turning new enquiries into confirmed bookings with genuine warmth and care
● Managing and maintaining our CRM (Tripleseat), while keeping workflows running smoothly and effectively.
● Managing calendars and booking systems across The Mowbray, The Chimney House and The Victoria
● Communicating closely with our Kitchen and Events teams to ensure every detail is delivered thoughtfully and with care.
● Supporting with payments and invoicing (Xero & Square)
● Ensuring every step of the process feels personal, polished and precise. This is a fast-paced role that calls for calm confidence, a people-first mindset, and someone who takes real pride in delivering exceptional experiences behind the scenes.
Key Responsibilities
● Assist with incoming enquiries via our CRM, email and phone with care and urgency
● Respond promptly, thoughtfully and in our signature tone of voice
● Manage venue calendars and bookings with precision across all three venues
● Log and track communications, updates and enquiries via Tripleseat
● Process and track invoices and payments through Xero and Square
● Support lead generation and follow-ups with potential clients
● Manage meeting room events from start to finish - including guest care, room setup, and provision of refreshments and lunches
● Host venue viewings and walkthroughs – always with a warm welcome
● Prepare guest-facing spaces to be immaculate, inviting and styled beautifully
● Communicate with our Kitchen and Events teams to ensure every detail is delivered thoughtfully and with care
● Assist with collating testimonials and photography
● Pitch in with day-to-day office admin and ongoing house projects
What We're Looking For
● A natural communicator with excellent attention to detail
● Calm, friendly and professional under pressure
● Confident with email, phone, CRM and admin tools
● Proactive, reliable and able to think a few steps ahead
● Someone who genuinely cares about people, places and good experiences
● Experience with Tripleseat, Xero or Square is a big plus
● A hands-on team player with an eye for beautiful spaces and seamless service
● A background or interest in hospitality, events, or venue-based guest care
● Previous experience in a similar fast-paced environment, with the ability to manage high volumes of enquiries with clarity and focus
