At Grofar, we're a small, close-knit EdTech team with a big mission: transforming learner careers nationwide. We care as much about being a happy, connected team as we do about running a tight, well-organised business and are looking for someone to be the operational backbone of both: the oil that keeps all cogs turning smoothly You'll report to and work closely with Abbie, our Managing Director, owning a defined set of critical functions with real autonomy and trust. We have well-documented processes, so you won't be starting from scratch or reinventing the wheel: you'll bring fresh eyes to what's already working, and the curiosity to make it work even better.

What you'll do
The role spans four areas: team and operational backbone, finance administration, systems and process improvement, and compliance support.
Team & Operational Backbone
This is the part of the role that keeps the team feeling like a team, especially in a remote-first environment. Our 'Friday High-Fives' call is where the team comes together to celebrate wins and share a moment before the weekend: you'll either be raring to take that over as your own, or will bring your own flavour to how we stay connected and make sure no one ever feels like just a name on a screen. Beyond that, you'll organise quarterly team days, lead birthday celebrations, and tackle generalised staff admin. You're the person who makes sure the moments that matter actually happen, brilliantly.
Finance Administration
You'll manage invoice creation in Xero, monitor outstanding payments, and chase them confidently, by email and by phone, until they are resolved. You'll also administer month-end reporting alongside the MD. No accounting background needed, but a confident, professional manner when it comes to getting invoices paid is non-negotiable.
Systems & Process Improvement
You'll take a helicopter view of how we operate, always asking: is there a way we could do this faster or more easily, improving quality? You'll administer our core business software (new user licenses etc.), but the real value here is the improvement mindset: Spotting friction, reducing it, finding smarter ways We expect you to actively use AI tools in day-to-day work, beyond spell-checking/drafting emails, and recommend new tools to genuinely make yourself and the business more efficient. Curiosity is core to this role.
Compliance & Documentation Support
You'll support the MD in completing supplier forms, tender documentation and other formal submissions, working carefully within our established GDPR and data protection framework. You don't need a compliance background but you do need laser-like attention to detail to interpret requirements accurately, taking pride in getting the details right.
To succeed you will:
* Manage your workload with discipline and structure, juggling competing priorities without dropping the ball, make problems visible at the same time as suggesting solutions.
* Have experience maintaining or administering business software and data, where accuracy and consistency genuinely mattered, and be confident working with Excel to a good business standard, including formulae and data manipulation.
* Be genuinely comfortable picking up new software independently, the kind of person who clicks around, figures it out, and doesn't need to be shown. You preferably have experience with Xero or a similar finance platform. You'll also bring real examples of using AI tools to meaningfully improve how you work, not just drafting emails, but genuinely thinking about how technology can make you more effective (or pick up new software, fast).
* Have managed finance admin with care and proactivity: invoicing, payment tracking or similar and have handled sensitive or confidential information, financial, HR, or otherwise, with appropriate discretion.
* Communicate to a high standard in written and spoken English, with excellent grammar and the ability to interpret complex written information.
* Be able to describe a time you identified a sub-optimal process and did something about it.
* Be someone who naturally builds real working relationships across a business, adapting your communication to ensure results. Getting things done well in a small business almost always depends on those relationships as much as the task itself.
* Genuinely love helping colleagues feel organised, supported and celebrated, with examples of how you've contributed to team culture or morale.
What we offer
A salary of £26,000-£30,000 depending on experience, 25 days holiday plus your birthday off, and remote working (with a bit of in-person during onboarding to build relationships), with quarterly meet-ups in Bristol. You will be part of a close-knit team where your work truly matters.
About your manager
Abbie is hands-on, commercially focused and deeply invested in building a business that is both well-run and a genuinely happy place to work… busy Keeping things human vs corporate, she values clarity and straight conversations, taking work seriously without taking herself too seriously. She works at pace and needs you to keep up, think things through independently, and proactively report on updates. Regular one-to-ones will give space to discuss priorities, share what's working and what's not, and tap into Abbie's knowledge across the business.
