Position Overview
Cardiff City FC and Levy are seeking a highly organised and customer‑focused Conference & Events (C&E) Event Planner to coordinate and deliver a diverse range of conference, corporate, and special events at Cardiff City Stadium.
Key Responsibilities
* Act as liaison between the sales process and the end customer.
* Manage all bookings confirmed by the sales team, including diary management for short‑lead bookings and internal Club/owner client bookings.
* Handle fan‑based enquiries and coordinate Christmas party nights and private events.
* Conduct venue show‑rounds, manage the diary and communicate with all venue stakeholders.
* Proactively upsell and exceed customer expectations following show‑rounds.
* Ensure billing is correct and events are paid prior to arrival.
* Maintain accurate, timely customer, staff and management information for seamless handover to operations.
* Maximise revenue through outstanding customer service and development of client, venue and internal relationships.
* Own the BEO process on the venue and complete it efficiently for all events.
* Capture revenue opportunities and work to secure confirmed business.
* Execute a daily liaison plan with sales and operational team members.
* Handle all correspondence received via email or telephone.
* Accurately input relevant information into the system for measurement in accordance with SOPs.
* Keep the sales team informed of the guest experience post‑event to support follow‑up calls.
* Serve as the go‑to at venue level for sponsors and client requests.
* Ensure safe and secure operation of all activities and apply legislative and operational procedures and standards.
* Demonstrate politeness, professionalism and friendliness at all times.
* Maintain the highest level of customer care and a can‑do attitude toward individual requests.
* Maximise sales opportunities and leads to support revenue targets.
* Acquire and utilise knowledge of all venue products and services to advise customers.
* Collect customer feedback and pass relevant information to the appropriate parties.
* Conduct customer show‑rounds and maintain/develop relationships with customers.
* Communicate with the sales team following show‑rounds to confirm bookings and resolve queries promptly.
* Seek opportunities to further develop the service and encourage continuous improvement.
* Assist colleagues positively and support other duties as required.
* Attend relevant training sessions and meetings.
* Promote venue facilities and maintain a positive company image.
* Manage the client online booking tool and client account/bookings with the operations team.
