Job Overview

Are you an experienced and motivated administrator looking to make a difference in Older Adults Mental Health services? We are seeking a proactive and highly organised Senior Administrator to join our Brent Home Treatment Team on a full time basis for 12 months to cover Maternity leave.

For this role you will provide comprehensive administrative and secretarial support to the Older People’s Home Treatment Team (OPHA). This includes working closely with the Team Manager, Service Manager, clinicians, and wider stakeholders to ensure smooth operational delivery. Your work will involve medical secretarial tasks, diary management, clinical correspondence, and supporting the consultant with key administrative duties.

You may also be required to provide supervision to junior staff, coordinate team admin activities, manage office systems, and contribute to recruitment and training processes. You’ll play a key role in overseeing data accuracy on SystmOne, generating reports using Excel and Tableau, and supporting service development initiatives.

The ideal candidate will have excellent communication and IT skills, and significant NHS administrative experience.

Main duties of the job

* Provide high-level administrative and secretarial support to the Brent Older Adults Home Treatment Team (HTT), including consultants and clinical staff.
* Manage clinical diaries, appointments, and patient consultations (face-to-face, telephone, and video).
* Draft and distribute clinical correspondence, manage enquiries, and maintain accurate records.
* Provide admin support to the Team Manager and Service Manager, including minute-taking, meeting coordination, and document preparation.
* Supervise and support administrative staff across the Older Adults Mental Health Services, including appraisals, training, and day-to-day support.
* Oversee administrative systems to ensure effective support for clinical teams and standardised admin processes across the service.
* Maintain data quality and reporting on SystmOne (S1); generate reports using Excel and Tableau to support service monitoring and improvement.
* Ensure the service meets local and national data targets, including KPIs and CQUINs.
* Support office and site management tasks including facilities issues, procurement, health and safety compliance, and liaison with estates or contractors.
* Assist in the recruitment of admin staff, ensuring robust and timely processes.
* Provide cross-cover and flexible admin support to meet the demands of the service.

Detailed Job Description And Main Responsibilities

As a Senior Administrator within the Brent Older Adults Home Treatment Team (HTT), you will play a vital role in providing high-quality administrative and secretarial support to clinical staff, managers, and the wider team. Your work will ensure the smooth running of the service, supporting both clinical and non-clinical functions.

You will be responsible for managing clinical diaries, coordinating patient appointments (face-to-face, telephone, and video), drafting and distributing clinical correspondence, and handling enquiries with professionalism and confidentiality. You will support the team’s operational needs by organising meetings, taking minutes, and managing documents and communications.

In addition, you will provide leadership and supervision to junior administrative staff across Brent Older Adults Mental Health Services, ensuring adherence to Trust policies and professional standards. This includes contributing to recruitment, training, and performance appraisals to maintain a skilled and motivated administrative team.

Your role will include managing data quality on the SystmOne system, producing reports using Microsoft Excel and Tableau, and working closely with clinical and managerial leads to monitor service performance and support quality improvement initiatives.

You will also oversee site and office management tasks, including facilities coordination, health and safety compliance, and supporting the implementation of service developments and office practices.

This post requires excellent organisational skills, flexibility, strong communication, and a proactive approach to problem-solving, all within a collaborative and patient-focused environment.

Education And Qualifications

Essential criteria

* Educated to a diploma level or NVQ level 4 or equivalent experience

Desirable criteria

* Recognised qualification in the use of computer software e.g. Microsoft Word, Excel, Access, ECDL.

Previous experience

Essential criteria

* Relevant qualification/experience plus administrative experience to include some financial responsibility
* Experience of staff supervision/management

Desirable criteria

* Experience of working within the Public Sector

Skills and Knowledge

Desirable criteria

* Knowledge of managing non-clinical contracts
* Comprehensive knowledge of health and Safety regulations
* Ability to demonstrate good customer relations
* Experience of managing database information system and ability to analyse data
