PA/Administration Assistant to the Private Client team
Full time/Permanent
Glasgow/ Stirling
Our busy Private Client department, led by STEP qualified Partners across Scotland, is recruiting for an experienced PA/Administrator familiar with Wills, Trusts, and Executries to join the Private Client Team.
The role involves supporting fee earners working collaboratively with our Family, Corporate, Real Estate, and Residential Property teams across Scotland to deliver comprehensive services to clients.
The position offers opportunities for career progression within our Specialist Private Client team for individuals demonstrating good client relationship skills, teamwork, and business development participation.
The successful candidate will engage in high levels of client and team interaction, serving a diverse client base including individuals, trustees, and executors from Scotland and beyond.
Job Responsibilities:
1. Provide daily support to the Private Client Department for key business requirements.
2. Deliver high-quality service to maximize business opportunities.
3. Work collaboratively and independently to ensure excellent customer service.
4. Assist Legal Business Co-ordinator and all fee earners within the Private Client team.
5. Answer calls, manage messages, schedule appointments, and maintain diaries.
6. Open and manage legal files, including money laundering procedures.
7. Provide secretarial support: typing dictations, fee notes, client correspondence.
8. Enter data accurately and efficiently.
9. Perform office administration: filing, scanning.
10. Handle mail duties: organize, collect, and distribute mail daily.
11. Assist with new instructions and referrals.
12. Use computer systems to maintain client records.
13. Address basic client queries and take messages.
14. Prepare fee notes, register Powers of Attorney, and complete forms.
15. Lodge and uplift wills and documents.
16. Manage debt-related tasks.
Minimum Requirements:
Qualifications:
* Highers or equivalent in English and Mathematics.
Skills and Experience:
* Good telephone manner and message handling skills.
* Proficient with MS Office packages.
* Previous office experience.
