Overview

We have a fantastic opportunity for an enthusiastic Administrative Assistant to join our Retail Shop Support Team.

The post holder will be required to undertake a full range of administrative tasks in order to support our 17 shops and the wider Retail team. Duties are varied and include tasks such as answering telephone calls and emails, and accurately checking the weekly financial paperwork to ensure compliance with regulatory obligations. They will also be required to fulfil orders and record sales received via the Charity's online shop. The administrator role sits within the busy Shop Support Team, working alongside the Retail Management Team to provide a full range of administrative support. The role requires work on Mondays, Thursdays and Fridays at our Head Office in Sully, with some flexibility to amend days for training or meetings.

Responsibilities

* Provide a full range of administrative support to 17 charity shops and the Retail team.
* Answer telephone calls and emails, and manage correspondence as required.
* Accurately check weekly financial paperwork to ensure regulatory compliance.
* Fulfil orders and record sales received via the Charity's online shop.
* Collaborate with the Shop Support Team and Retail Management Team to support day-to-day operations.
* Attend Head Office in Sully on Mondays, Thursdays and Fridays (with occasional flexibility for training or meetings).


About you

If you have at least 12 months proven experience of working with multiple databases and in a busy administration role and possess a high level of numerical accuracy, we’d love to hear from you. The ideal candidate will be meticulous, demonstrate attention to detail, work well within a small team, have a can-do attitude, and be driven to provide excellent customer service.

About our Retail department

Ty Hafan currently has 17 charity shops, geographically spread from Cardigan in the west of Wales to Cwmbran in the east. Our dedicated Retail team raises essential funds to enable Ty Hafan’s care provision through hospice and community programmes supporting life-limited children and their families in Wales. We strive to be an innovative, supportive, and agile team, delivering ambitious goals.

Our retail network raises money from donated goods (mainly clothing, bric-a-brac and household goods), a small amount of bought-in “new” goods, and the sale of tickets for the charity’s Crackerjackpot weekly lottery. Income is also generated from cash donations, gift aid on donated goods, and the sale of waste clothing and household goods to recycling merchants. Each salaried Shop Manager is supported by 1 or 2 salaried Deputies and/or a Salaried Sales Assistant and a team of volunteers.
