Job Purpose:
We are seeking a highly organized and customer-focused Sales Support Administrator to join our sales team.
This role is essential in ensuring smooth day-to-day operations and supporting the sales function to achieve business targets.
You will act as a key point of contact for customers, handling inquiries related to products, orders, and deliveries, while providing administrative and coordination support to sales representatives and account managers.
The ideal candidate is goal-oriented, detail-driven, and thrives in a collaborative environment. Your contribution will be vital in maintaining excellent customer service standards and helping the team meet and exceed sales objectives.
Duties:
1. Working closely with the Sales team to perform all sales support activities including creating quotations in SAP, sending quotations, sales pipeline maintenance.
2. Manage Quote Processing: Accurately process customer quotes/RFPs/RFQs received via email or phone, ensuring a smooth and timely workflow from quote processing to order receipt.
3. Verify Quote Details: Review and validate order information to ensure completeness, accuracy, and compliance with internal procedures.
4. Customer Communication: Serve as a reliable point of contact by following up with clients to gather missing information, clarify requirements, and resolve inquiries.
5. Maintain Sales Records: Create and keep customer and sales data up to date in internal systems, ensuring accurate records for reporting and future reference.
6. Generate Sales Reports: Prepare clear and concise monthly sales pipeline and performance reports to support informed business decisions.
7. Relay Customer Feedback: Capture and share valuable customer insights and feedback with relevant teams to enhance service and product offerings.
8. Support Sales Targets: Monitor progress toward sales goals, highlight any variances, and support initiatives to stay on track.
Qualifications
Technical Knowledge and Skills:
* Knowledge and experience in quote and customer creation in SAP using relevant transaction codes. Ability to extract reports and maintain win/loss opportunities track from SAP.
* Ability to create 100% configured quotations in SAP and to generate same quotes by email and the use of Microsoft Word applications where applicable for our customers
* Ability to review and validate order information to ensure completeness, accuracy, and compliance with internal procedures.
* Prior experience and ability to demonstrate capability to communicate with external and internal customers and provide reassurance that the business is serving their needs and resolve any inquiries they may have.
* A wish to understand the product range provided by Smiths Detection and to stay informed about new product launches, features, and updates to better support customers and the sales team.

* The role shall require coordinating with various internal stakeholders, working closely with OTI, Finance, Commercial, Supply Chain, Service, Operations teams etc. to accomplish various sales administrative tasks.
* The ability and motivation to persistently pursue and achieve effective results which drive the business forward.
* The ability to make good judgements using the information available and making effective timely decisions.
* Willing and able to identify and support change and continuous improvement.
* Willingness to learn more on the products and services and how to configurate machines in the system.
Planning and Decision Making:
* Provide comprehensive support to the sales team by ensuring the accuracy and completeness of quotations, proposals, and sales reports on time to meet deadlines specified

* Ensure internal or external customers’ requirements are delivered on time to promise.
* Manage and resolve all sales quotation / sales order issues in SAP to ensure accurate data for pipeline management as well as revenue recognition.
