Overview

Responsibilities
* Welcome and receive all patients and visitors attending.
* Take appropriate details and ensure they are correct within Epic.
* Provide general advice about services, where to refer, and how to access services to patients and healthcare professionals.
* Make appointments and ensure appointment outcomes are captured within Epic.
* Make, cancel, or rebook appointments for specialist nurses and consultants within the Epic system.
* Organise additional services for patients (e.g., interpreters and transport) and liaise with clinicians and the wider MDT team to ensure the smooth running of clinic.
* View waiting lists automatically created as part of order placement by clinicians and review End of Day Reports to identify unsigned visits and escalate as needed.
* Monitor rejected referrals work queues and action rejected referrals; follow up appointment bookings.
* Use dedicated scheduling work queues in Epic and filters to personalise data; understand that data refreshes dynamically with demand and activity.
* Use work queues for scheduling, including multiple queues (e.g., new appointments, cancel and rebook, DNA, etc.).
* Contact patients to agree appointments while checking patient details in work queues.
* Use MyChart functionality to enable patients to book dates and times based on Waiting List triggers.
* Agree appointment details with patients in line with access policy and add comments pertinent to appointment scheduling and patient care.
* View appointment slots based on triage decisions in line with Epic clinic code structure, allowing a mix of appointment types and modes.
* Communicate appointment details to patients via SMS confirmations and reminders; manage letters automatically via batch printing; insert optional smart text for specific instructions.
* Use work queues to action patient-initiated cancellations and change requests via SMS or MyChart.
