Are you highly organised, detail-oriented, and ready to support a dynamic team in a fast-paced environment? Were looking for a Projects Administrator to provide essential support to our Senior Security Administrator and work closely with the Head of Security and Operations Manager.
This is a varied role where no two days are the same. You'll be at the heart of our operations, helping to keep projects running smoothly and efficiently. Full training and support will be provided to help you succeed and grow in the role.
What you will be doing
As Projects Administrator, your responsibilities will include (but are not limited to):
* Setting up new jobs: Creating and maintaining job files in Simpro.
* Ordering parts: Raising purchase orders and liaising with suppliers for timely deliveries.
* Workbook management: Updating and maintaining project workbooks alongside the Security Administrator.
* Invoicing (small works): Preparing and processing invoices.
* Purchase ledger: Recording and reconciling supplier invoices.
* Job sheets (small works): Producing and updating job sheets.
* Returns: Managing returned goods and coordinating with suppliers.
* Engineers timesheets: Collecting and recording timesheets for payroll and invoicing.
* Monitoring stock: Tracking and reporting stock levels.
* Logging new quotes: Entering new quote requests into the system.
Who we are looking for
Were seeking someone with:
* Proven experience in financial management.
* Strong IT skills, particularly in Excel, Word, and Outlook.
* GCSEs in Maths and English (Grade C or above).
* Excellent written, verbal, and numerical communication skills.
* A professional and friendly telephone manner.
* A proactive attitude toward career development.
* Exceptional organisational skills and the ability to manage multiple tasks.
* Experience in a busy office environment (preferred).
* A team player mindset with the ability to work independently.
* A willingness to learn about legal and regulatory compliance in the Fire Industry.
