Role Overview

This role combines elements of sales administration, project coordination, contract maintenance and sales validation, all underpinned by a high-level of customer care.

It involves handling various administrative tasks, customer interactions, and maintaining accurate records, all while providing support to the growing sales team. It is essential that the successful candidate is highly organised, able to manage competing priorities with a laser-focused eye for detail. You will have an excellent telephone manner and exceptional verbal and written communication skills, the ability to manage upwards and a willingness to challenge the perceived status quo. Key Responsibilities

* Preparing quotes for standard and repeatable products and services for or on behalf of our sales and service teams with guidance from pre-sales and account managers.
* Maintaining contracts for both renewals and new agreements by taking information from signed customer orders and entering them accurately into systems ready for go-live and ongoing billing.
* Ensuring that customer agreements are kept up to date with accurate information, coordinating with all internal teams (sales, service, projects and finance) when updates must be made.
* Proactively managing renewals for standard products such as endpoint security, Microsoft licenses, and other 3rd party services that are resold.

Order Processing

* Accurate and timely conversion of signed orders to sales orders, associated purchasing (and where possible, buying better than quoted), and further conversion to either a project or a service ticket depending on the scenario.
* Accurate and timely conversion of completed sales orders to invoices or, where applicable billing agreements, in coordination with sales, service, projects and finance teams.
* Validation of quotes on a regular basis to ensure accuracy and that the correct paperwork has been signed and attached to the order, and the correct order process has been followed.

Stock Management

* Receiving goods into stock and recording asset serial numbers.
* Shipping goods from stock, organising couriers and capturing PoDs.
* Ensuring stock is labelled and organised.

Customer Care

* Answering calls to the sales line and either handling personally or directing enquiries to the relevant team.
* Monitoring the central sales mailbox, actioning general enquiries for both internal and external parties, or redirecting them to the relevant team.
* Contacting customers to answer queries and obtain missing information, provide updates on deliveries, managing potential delays, and advising on progress of sales orders.
* Ongoing maintenance of CRM records.

What do you need to be successful in this role?

Required Skills

* You must have a solid grasp of computer-based systems and be able to learn new systems quickly and efficiently with the appropriate guidance.
* Microsoft Outlook, Teams, Word and Excel
* Exposure to end-to-end business processes (e.g. enquiry, quote, order, purchase, project/service, invoice)
* Eye for detail and the ability to remain focused on successful/positive customer outcomes
* Experience of working within a fast paced and high energy sales environment
* Strong customer care experience and interpersonal skills
* Excellent organisational skills and collaborative workstyle
* Minimum of 2 years’ experience in a similar role
* Minimum of two professional references
* Experience with ConnectWise and/or HubSpot
* Experience within a Managed Services Provider or IT services/products business
