The Patient Services Coordinator will play a crucial role in supporting the operational delivery of NHS projects, ensuring seamless coordination of all our current & future service developments. The post holder will be highly organised, proactive and flexible, capable of managing competing priorities, providing excellent administrative support and contributing to service development in a fast‑paced healthcare environment.

Monday: 8:00 am‑4:00 pm (CGPN Federation Office)
Tuesday: 8:00 am‑12:00 pm (CGPN Federation Office)
Friday: 8:00 am‑4:00 pm (CGPN Federation Office)
Saturday: 8:45 am‑5:15 pm (Rosebery Medical Centre)
Hours and working pattern can be discussed in more detail during the interview. Working from home may be an option, depending on business needs.
Primary responsibilities
* Lead on the PCN & at‑scale service provisions provided by the Federation, ensuring effective rota management and supporting workforce planning to maintain sufficient staffing levels.
* Act as a key point of contact for internal and external stakeholders, responding to queries professionally and promptly.
* Provide reception and secretarial functions, including task management and inter‑practice referrals.
* Provide induction support for new clinical staff, ensuring their ongoing registrations and mandatory training are maintained within service provision standards.
* Book patient clinics and maintain waiting lists.
* Ensure medical equipment is maintained and in good working order.
* Provide comprehensive administrative support for the planning, implementation and evaluation of projects.
* Support project coordination, ensuring deadlines and key deliverables are met.
* Develop and maintain accurate project documentation, reports, databases and claims, ensuring compliance with confidentiality and data‑governance policies.
* Assist in the implementation of service improvements, audits and quality initiatives.
* Support the management of contracts and service agreements, ensuring adherence to NHS policies, guidelines and statutory regulations.
* Maintain an effective filing system and support the monitoring and reporting of KPIs.
* Assist with risk assessments, incident reporting procedures and complaints, and manage mailboxes.
* Support the coordination and delivery of MDTs within the PCNs.
* Promote a culture of continuous improvement and build effective relationships with healthcare providers, commissioners and other key stakeholders.
* Act as liaison between various teams, ensuring effective information sharing and collaboration.
* Communicate operational updates to staff, ensuring clarity and alignment with organisational objectives.
Qualifications
* Experience in general practice is essential, with good working knowledge of primary care.
* Proficiency with clinical systems such as SystmOne and the MS Office suite (Word, Excel, Outlook, PowerPoint). Willingness to learn new computer systems.
* Highly organised, proactive, self‑motivated, and able to meet tight deadlines.
* Excellent communication skills and a can‑do approach to work.
* Ability to work flexibly in a fast‑paced healthcare environment.
