London Medical is a specialist outpatient clinic located in London's renowned medical district Harley Street and is now a part of Bupa Health Services. Our diabetes and specialist services offer customers fast access to diagnosis, treatment, and support when they need it, as well as onward pathways to high quality care at Bupa's Cromwell Hospital.
The Medical Secretary Team Manager plays a crucial leadership role within London Medical, overseeing the day‑to‑day operations of the Medical Secretary and Clinic Coordinator teams.
The post holder ensures the smooth running of all administrative and consultant-support functions, delivering a world‑class patient experience across every stage of the patient pathway.
What you'll do
The role combines people management, service supervision, and cross‑departmental coordination to support efficient, high‑quality patient pathways.
* Lead and supervise Medical Secretaries and Clinic Coordinators to ensure smooth daily operations and timely consultant support.
* Drive an exceptional patient experience, handling complaints, feedback, and VIP pathways professionally and promptly.
* Manage staff performance through 1:1s, training, appraisals, and supporting recruitment, onboarding, and development.
* Ensure accuracy and efficiency in scheduling, correspondence, records management, billing oversight, and administrative processes.
* Maintain compliance with CQC, Bupa, health & safety, infection control, and data protection standards, escalating risks as needed.
* Collaborate with consultants and internal teams to support operational priorities, pathway launches, and continuous service improvements.
Key Skills / Qualifications needed for this role:
* Proven experience supervising or leading administrative, front‑of‑house, or outpatient teams, with strong customer‑care understanding.
* Excellent communication, interpersonal, and relationship‑building skills, with confidence handling complaints and sensitive situations.
* Ability to coach, train, motivate, and develop team members, promoting a positive and accountable workplace culture.
* Strong organisational skills with high attention to detail, reliability, and ability to work under pressure.
* Solid IT proficiency (Word, Excel, Outlook) and willingness to engage with systems such as practice management software.
* Awareness or understanding of governance, CQC standards, data protection, and incident‑reporting systems such as Datix (desirable).
