Job Description Job Title: Secretary - Submarines Working Pattern: Full-Time, On-Site Working location: Derby, Raynesway We are currently looking for a new Secretary to join our Submarines Business in Derby. You will be responsible to provide comprehensive administrative and organisational support to a Manager/Executive or Team, ensuring the smooth functioning of daily operations. What you will be doing Manage and maintain executive calendars, scheduling meetings, appointments Coordinate logistics for meetings, including setting up rooms, arranging for any needed technology, and preparing and distributing meeting materials. Handle incoming calls, emails, and inquiries, and direct them to the appropriate parties as needed. Coordinate travel arrangements, dealing with any changes which may be required at short notice. Undertake general office management activities. This may include management of small Op cost budget for the procurement of Meeting/ stationary supplier or expenses management. Understanding of the departments key stakeholder / customers and liaise effectively to support the departments objectives and work. Producing documentation, this may including taking minutes, creating presentations and preparing summary reports. Ensure accurate record-keeping of confidential information and following the company’s data protection policies Creation of internal business communications and management of relevant circulation lists. Provide secretarial cover for colleagues, as part of the secretarial buddy system. Apply a working knowledge of the relevant Company polices and procedures.
