Job Title: Health Surveillance Schedulin g Coordinator Salary: £27,234 Location: HU5 4EF Hours: 37.5 hours a week The Role The Health Surveillance Scheduling Co-Ordinator in some cases will serve as both the initial and final point of contact for clients, playing a critical role in the efficient and professional delivery of health surveillance services. This role requires a highly organised, detail-oriented individual who can manage bookings effectively, optimise technician utilisation, and maintain excellent client relationships. The post holder may be required to support either Key Account management or Standard Scheduling processes, depending on business needs. Flexibility and the ability to adapt between structured account management and high-volume scheduling workflows are essential. The role carries full responsibility for bookings from initial contact through to service completion. Key Responsibilities Key Accounts Account Ownership & Relationship Management Act as the dedicated point of contact for allocated key clients. Build strong working relationships to understand client-specific requirements, expectations, and reporting needs. Ensure service delivery aligns with agreed contractual and reporting targets. Booking & Coordination Collect comprehensive facts and figures to ensure accurate and effective service delivery. Accurately create and manage bookings within internal systems. Take ownership of a designated pool of Occupational Health Technicians and manage their schedules. Optimise technician availability while meeting client requirements and agreed service levels. Ensure technicians are fully prepared with all relevant documentation and information prior to appointments. End-to-End Service Responsibility Maintain responsibility for each booking from initiation through to completion. Monitor service performance and ensure expectations are met or exceeded. Gather and record client feedback to support continuous improvement. Conclude service interactions professionally, reinforcing a positive client experience. Scheduling When operating within the Standard Scheduling function, the post holder will: First Point of Contact Act as the first point of contact for clients after the sale for all regulatory services bookings. Provide a professional, welcoming, and efficient customer experience. Information Gathering & Booking Creation Obtain all required details from clients to ensure accurate service delivery. Enter booking information accurately into scheduling systems. Ensure all data is complete and recorded with high attention to detail. Scheduling & Resource Optimisation Efficiently schedule appointments to maximise technician productivity and diary utilisation. Balance client needs with operational efficiency. Ensure capacity is effectively managed across available resources. Booking Completion Maintain ownership of bookings through to service completion. Support achievement of reporting targets and operational KPIs. Obtain feedback where appropriate to enhance service quality. Ensure final interactions leave a positive and professional impression. Skills and Experience required Strong communication and interpersonal skills. High level of attention to detail and data accuracy. Ability to multitask and manage time effectively in a fast-paced environment. Experience in a customer-facing or telephone-based role preferred. Experience using scheduling software or CRM systems advantageous. Proactive, solution-focused mindset. Excellent organisational skills. Ability to work independently and as part of a team.
