About the Firm:
A highly respected commercial and real estate law firm, specialising in real estate finance, dispute resolution, debt recovery, and related services. The firm is known for its flexible, fast, and strong legal services, with a client‑centric approach, and an agile, supportive culture. The team is growing, and they are seeking a high calibre Legal PA to support senior fee earners and help ensure the smooth running of legal operations.
Role Overview
You will act as the right hand to one or more senior solicitors/business development partners, providing high quality support across both administrative and legal tasks. Your role will be instrumental in ensuring deadlines are met, clients are well served, and projects are delivered efficiently. You’ll coordinate varied workstreams, manage communications, documents, diaries and generally contribute to the smooth internal and external running of the firm.
Key Responsibilities
* Manage diaries, meetings, and travel arrangements for senior fee earners.
* Draft, proof‑read and format legal documents, correspondence, reports etc., ensuring a high standard of accuracy.
* Prepare bundles, briefs, and case materials for meetings, negotiations and court or tribunal hearings.
* Undertake document management: organising filing systems (both electronic and hard copy), tracking versions, ensuring documents are up to date.
* Liaise with clients, other legal professionals, courts, searchers, lenders and external parties; managing incoming communications and escalating as needed.
* Assist with billing and time recording; gathering information for legal fees, costs, invoices.
* Supporting the preparation of quotes, retainer letters, initial client correspondence.
* Managing deadlines and follow‑ups: keeping track of multiple concurrent matters, ensuring action points are followed through.
* Undertake research and data gathering (e.g. for case / property searches) as required by fee earners.
* Possibly assist with Business Development / Marketing tasks: preparing newsletters / insight pieces, updating website personnel profiles, helping with client care initiatives.
Skills & Experience
* Prior experience as a Legal PA or in a similar role in a law firm (ideally in real estate, dispute resolution or commercial law).
* Excellent written and verbal communication skills, with high attention to detail and strong proofreading / drafting ability.
* Strong organisational skills: ability to manage competing priorities, tight deadlines, and a busy schedule.
* Confident in legal document formatting, document management systems, version control.
* Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint), and ideally familiarity with legal practice management software (billing / time recording).
* Able to work independently and as part of a team; reliable, flexible, proactive.
* Discretion, integrity and confidentiality are essential.
Nice to Have
* Experience in real estate law (or related fields such as conveyancing, leases, property finance).
* Experience with drafting or assisting with pleadings, contracts, or financial documentation.
* Knowledge of or experience with preparing cost estimates, retainer letters.
* Some familiarity with marketing / insights content, client newsletters.
* Understanding of the SRA / regulatory environment for law firms.
