Waiting List Coordinator
A Vacancy at Norfolk and Norwich University Hospitals NHS Foundation Trust. The role of the Waiting List Coordinator is to manage the booking of day procedures at Cromer Hospital. This includes a range of specialties including Plastics, Pain Management, Ophthalmology (eye surgery), Vascular services and other services as directed. All procedures are booked following compliance with National and Local targets and policies. We have a small friendly team who work together and engage with our patients, clinicians and admin colleagues to ensure our lists are booked effectively and patients feel knowledgeable and reassured regarding their attendance at the hospital.
Please note that this advertised position, which is part of occupation code 4131, does not meet the UKVI eligibility requirements for a Skilled Worker Visa (this includes if you are already in a sponsored post and looking to change employer). The Trust would not be able to issue a Certificate of Sponsorship for this role.
Responsibilities
* Managing patient waiting lists
* Utilizing hospital systems such as Patient Information System (PAS) and ensuring systems are updated
* Following agreed booking protocols and ensuring lists are booked effectively to ensure capacity utilization
* Engaging with patients, providing detailed information regarding surgery times and arrangements
* Dealing with all queries in a professional, courteous manner
* Performing other duties as directed by the Admin or Operational Manager, undertaking responsibility for waiting lists and ensuring compliance with local and national targets and policies, and ensuring relevant documentation is sent to patients and information entered into the appropriate IT systems
* Having a comprehensive knowledge and good understanding of the Patient Access Policy to always work in line with Trust and National policies, procedures and targets on real‑time data entry and confidentiality
* Using all required tools on the Trust IT system as required by the role – PAS, PTL reports, ORSOS, ARIA – to ensure the smooth running of the waiting lists and the timely completion of patient‑oriented tasks, and to understand and adhere to the Trust RTT standards
* Communicating efficiently and effectively with patients, nursing staff, clinicians, pharmacists and departments within the NNUH, as well as GPs and other hospitals
* Handling telephone enquiries from patients, medical and nursing staff, GP's and other professional bodies sensitively and confidentially, and liaising with all relevant clinical staff within the Trust. This communication may be both face‑to‑face or by telephone
* Adding patients to PAS waiting list and scheduling TCI appointments for chemotherapy and other procedures on Muriel Thomas Day Unit; reviewing and updating these entries via an Elective Planned Report, identifying anomalies and ensuring accuracy; printing patient wristbands
* Ensuring all relevant patient history, details and notes are prepared for the Unit, which includes the provision of relevant paperwork for the nursing staff
* Identifying any outstanding prescriptions and escalating appropriately to the relevant consultant(s) to ensure drugs are prescribed for relevant days; advising Pharmacy, MUTH Day Unit staff and tele‑clinic nurses of any cancellations, additions or deferred patients
* Completing electronic discharge letters for WDU using multiple systems such as PAS, ARIA Notes and an Electronic Template; sending these electronically to the GP's to provide up‑to‑date medical records, as well as providing a copy to Clinical Coding for payment purposes; identifying and rectifying any anomalies by liaising with the relevant clinical staff
* Receiving telephone calls from patients to arrange Pre‑Operative Assessment appointments, giving patients choice and dating within allotted times
