Job Title:
People and Culture Assistant (Systems and Compliance)
Location:
Hybrid working – with a requirement to work two days per week at a London-based office (North London)
Contract Type:
Fixed Term – 3-month contract
Work Pattern:
Full time
Salary:
£27,500 gross per annum
Reporting to:
Head of People and Culture
Background A newly formed People and Culture team within a central operations hub is seeking a motivated and detail-oriented individual to support its systems and compliance functions. Since its inception in mid-2024, the People and Culture team has been focusing on assessing and improving internal processes across the organisation. This temporary role will provide much-needed capacity to help shift the team from a reactive mode to a more proactive and strategic way of working.
Key Responsibilities HR Systems and Administration
* Audit the existing HR system and produce a report summarising missing or required documents
* Upload and update employee documents on the HR system
* Assist with onboarding by adding new starters to the HR system
* Remove outdated or inactive profiles
* Coordinate with team members to generate missing documentation and ensure correct filing
* Conduct a staff survey to update employee profiles, emergency contacts, work hours, and settings
Compliance and Record-Keeping
* Facilitate DBS checks through an external provider
* Roll out mandatory training (e.g. health and safety, GDPR) and monitor completion rates
* Support the tracking and reporting of compliance-related activities across teams
Recruitment Support
* Monitor the HR recruitment inbox daily
* Organise and save incoming application documents appropriately for the shortlisting panel
Culture, Inclusion, and Safety
* Support a workplace environment grounded in respect, fairness, and inclusion
* Uphold organisational safeguarding, health and safety, and data protection policies
* Ensure compliance with GDPR and other relevant regulations
* Handle confidential information with discretion
General Duties
* Participate in internal and external meetings as required
* Attend relevant training and development opportunities
* Perform any other appropriate duties to support the smooth running of the People and Culture function
About the Organisation The organisation is a not-for-profit community interest company (CIC) focused on building sustainable and thriving communities, particularly those from underrepresented and racially minoritised backgrounds. With a team of around 30 staff and a turnover of approximately £3 million, the organisation is experiencing a period of growth and development.
