Executive Coordinator / PA (Hybrid)
Are you an adaptable and forward-thinking professional looking for a dynamic hybrid role? We are seeking a highly motivated Executive Coordinator / PA to provide high-level support to senior leaders, working flexibly between office and remote locations. This role is based three days in-office.
As proactive support to senior management, the role focuses on delivering operational excellence, diary management, project coordination, and client engagement across both in-person and virtual settings. The successful candidate will thrive in managing shifting priorities, applying tact and discretion, and ensuring a seamless experience for stakeholders.
Key Responsibilities:
* Manage complex diaries across multiple time zones, coordinating meetings and travel arrangements both in-office and remote.
* Lead project administration, follow up on action items, and ensure documentation is completed to the highest standard.
* Act as liaison between executive leaders, internal teams, and external contacts, facilitating effective communication via digital platforms.
* Organise and support business meetings, events, and communications both physically and virtually.
* Handle confidential information with absolute discretion, prioritise urgent matters, and provide timely reporting and updates.
* Maintain and update contact logs, records, and use cloud systems (e.g. SharePoint, Teams) to manage workflow.
* Adapt scheduling and meeting coordination for hybrid environments, ensuring seamless support regardless of location.
* Foster a positive work-life balance and maintain accessibility for stakeholders across digital channels.
Skills and Experience:
* Previous experience in executive support, PA, or coordinator roles, with exposure to hybrid/remote working practices. Tech-savvy with proficiency in MS Office and collaboration software (e.g. Teams, SharePoint, Zoom).
* Excellent communication, problem-solving, and time management skills with a track record of independent judgment and initiative.
* Proven ability to organise complex information, multitask on live projects, and maintain high standards under pressure.
