SUMMARY OF JOB
To provide a high-quality service to all SCH Motoprep customers by overseeing and supervising motorcycle operational processes before and after technical work.
This includes managing the administrative team to ensure smooth and efficient operations that meet the needs of both the BMW workshop and Workshop 2. The role also involves monitoring and coordinating the wider Sywell operation, covering areas such as progress chasing, customer service, warranty submissions, labour bookings, warehouse activities, workshop loading, finance invoicing, and Health & Safety administration.
MAIN RESPONSIBILITIES
* Communication with integral departments and teams to ensure the required motorcycle volume called forward is allocated and planned
* Manage multiple client accounts, be the main point of contact for all general inquiries.
* Control financial information, reporting and invoicing.
* To carry out the personnel administration for staff, including time sheets and hours.
* Effectively communicate with SCH HR and Payroll as and when required.
* To manage, and control site spending, Credit card control forms - ensuring all purchases are backed with a PO system
* To Monitor and accurately update site staff hours
* Control site petty cash
* Identify and deliver ongoing improvements to the current admin data recording process
* Ensure all invoicing submissions are completed on time to group finance
* To be the main contact on site for invoicing / reporting enquiries
* Process orders, create work orders.
* Supervise all administrative staff.
* Investigating and reporting on any damage reported back to us from the customer or retailer network
* To oversee and supervise operational team presentation including PPE and uniform - any defects or requirements to be reported.
* Communicating information to Administration efficiently
* Presentation and housekeeping in office areas
* Quality spot checks on job card process
* Team toolbox talks and H&S briefs
Requirements
* Proven experience, preferably in a fast-paced office at a senior level
* Proficient in using all aspects of Microsoft Office - especially Excel.
* Have experience of using business specific software.
* Keen eye for detail
* Organisational skills
* Excellent communication and interpersonal skills

* Ability to develop and maintain professional relationships at all levels within the business.
