The Role
As a key member of our school administration team, School Management Assistants provide targeted clerical support in areas such as reception, student entry, corporate services support and curriculum support. School Management Assistants may also be required to work in the co-located full service school or Student Services.
All members of the school administration team work collaboratively to provide a strong, responsive administrative service. They should use their strong understanding of Department of Education programs and platforms to manage information databases and use their strong interpersonal and communication skills to address queries, problem solve and maintain a high-level of attention to detail. Experience in the use of Human Resource Information System (HRMIS), Recruitment & Advertisement Management System (RAMS), RM Finance, SIS Integris, RM Billing and Compass is desirable.
Corporate services staff members at Armadale SHS are flexible, willing to move between portfolios of work to upskill and meet the emerging needs of our students. Reception & Student Entry
The Reception & Student Entry Assistant acts as the face of our school. They administer student databases, maintaining high-level data accuracy in student enrolment and attendance records. They apply strong customer service principles to each interaction to ensure a successful outcome. Supporting the development of publications, the Reception & Student Entry Assistant may be responsible for coordinating the generation of merit certificates as required. They also complete general financial processing; including adding billing items and receipting of monies in RM Billing. They also support faults management processes; liaising with staff and the external Maintenance Service Centre to ensure a safe learning environment for all students.
Enrolments & Transition
As Enrolments & Transition Assistant, the successful applicant will ideally build and maintain strong relationships with parents/caregivers and local primary schools to support the transition of Year 6 students into Year 7. They will ideally use their thorough knowledge of the enrolment process and their high-level data entry skills to complete entry of enrolment applications into a variety of Excel spreadsheets and SIS Admissions. The Enrolments & Transition Assistant will work in collaboration with the Deputy Principal, Student Services and Targeted Learning teams to ensure the successful transition of students. This also includes coordinating the collation and presentation of various scholarships, certificates and book awards to local schools.
Marketing and Events Coordination
As for Marketing & Events Assistant, the successful applicant should work to build effective public relations across the school community. They will maintain our school website and Facebook systems, liaising with staff across the school to capture and publish promotional materials. This may include developing publications, supporting/coordinating the Year 12 Awards/Presentation Ceremony, coordinating parents’ evenings and arranging various functions. The Marketing & Events Assistants actively seeks out opportunities to build the schools image, following our school branding policy. Experience in publication development, photography and graphic design is desirable.
Corporate Services
Corporate Services staff provide targeted support to the Principal and Manager Corporate Services; completing minutes of meetings, arranging agendas and completing any ad-hoc tasks as needed. They should maintain strict confidentiality requirements and support the Manager Corporate Services in areas such as facilities and building management, stocktaking of asset/resources as well as general financial and human resource processing. Experience in supporting senior leadership teams and the School Board is desirable.
Records, Enrolments & Timetabling
The Curriculum Support Assistant administers key databases to support curriculum operations. This includes management of the Reporting to Parents database, entry of student subject selections, management of staff/room allocations in SIS Integris and oversight of course/subject/enrolment reporting to Schools Curriculum and Standards Authority (SCSA) as required. They should use their high-level knowledge of student records to maintain archives across the school effectively, including collation of former student information for central-level archiving.
