We are thrilled to be partnering with a leading law firm to recruit a proactive and highly organised Facilities Assistant to support the smooth running of their Inverness office. This role is essential in supporting their legal team both those based locally and visiting colleagues from other offices by delivering a wide range of administrative and facilities services. What You’ll Do Provide administrative support to on-site and visiting colleagues as needed Act as the first point of contact for visitors, clients, and third parties—via email, phone, or in person—delivering a professional and proactive service Answer incoming calls and manage reception duties Set up meeting rooms and coordinate hospitality requirements Handle all incoming and outgoing mail efficiently Complete printing, copying, and scanning tasks with attention to detail and deadlines Conduct regular facilities checks and liaise with contractors for cleaning and maintenance Maintain and update the office key log Act as Fire Warden, ensuring compliance with building safety procedures and fire protocols Assist colleagues with printer-related issues Support health and safety tasks within the office Carry out ad hoc administrative duties as required Set up and support AV equipment in client-facing areas Liaise with the IT team to report and escalate technical issues appropriately Adhere to the organisation’s information security policies, ensuring protection of all information assets What You’ll Need Prior administrative experience of working within a busy legal or professional service environment Good communication skills and confident when dealing with people at all levels Ability to maintain flexibility regarding tasks and workload Always presents a professional image to clients and other external organisations The successful candidate will be required to be flexible regarding working hours as from time to time it will be necessary to complete work during lunchtime or outside of core hours Good interpersonal and problem-solving skills A proven track record in a facilities background is preferred Excellent attention to detail Excellent IT skills including working knowledge of Microsoft Office Word, Excel and Outlook What You’ll Receive A competitive salary and benefits package What’s Next?
