We have an exciting opportunity for a Facilities/Files & Securities Clerk to join our Workspace team, onsite in Newcastle.
As a Facilities/Files & Securities Clerk, you will provide prompt, efficient, and reliable service to our growing Newcastle office, which currently consists of 65+ people.
You will be responsible for:
1. Setting up rooms and IT equipment for meetings, events, and seminars (e.g., laptops, projectors, AV setup);
2. Liaising with the Events team regarding internal events and their requirements;
3. Setting up desks, including IT equipment and cabling;
4. Maintaining inventory of AV and WFH equipment, such as monitors, keyboards, meeting room PCs, and headsets, and liaising with the team to send out or return these items;
5. Conducting daily morning floor walks to ensure the office is ready for operation;
6. Managing security access card distribution and maintenance;
7. Providing office tours for new starters;
8. Monitoring and completing service requests submitted through Jira;
9. Logging jobs with building management;
10. Coordinating secure bin pickup and delivery, and general office maintenance (e.g., changing photocopier toners, removing paper jams, minor repairs);
11. Assisting with office moves and fit-out projects, possibly in other states;
12. Preparing files for archiving or off-site storage;
13. Managing the pickup and delivery of files and their safe custody;
14. Preparing safe custody documents and packets for storage;
15. Ensuring consistency in archiving and off-site storage processes;
16. Scanning original documents as required;
17. Training back-up staff for Files & Securities duties; and
18. Performing ad hoc duties as required.
About You
You will ideally have the following skills and experience:
1. Experience in a facilities clerk or files & securities clerk role, or similar;
2. Ideally, experience in a professional services environment;
3. Strong attention to detail;
4. Excellent interpersonal and communication skills;
5. Flexible, reliable, with a ‘can do’ attitude and proactive approach;
6. Strong organizational skills and the ability to prioritize deadlines;
7. Ability to work autonomously and follow directions;
8. Proficiency in Microsoft Office;
9. Ability to work under pressure; and
10. Professional work ethic.
