Applications are invited for the post of IT Project Support Officer in the University’s IT Department. We are seeking a proactive and detail-oriented IT Project Support Officer to join our IT Department in a new role on a fixed-term basis, while the University undertakes a major project to replace its Student Record System (SRS) and transform the operating model for Student Study Services. This is a fantastic opportunity to contribute to a dynamic team, supporting essential services that impact students and staff across the institution.
Role Purpose & Scope
* Provide structured administrative and coordination support to the IT Project Manager for the Student Record System (SRS) replacement and Student Study Services transformation programme.
* Assist with the smooth day-to-day running of a large, multi-workstream IT project within a complex university environment.
* Help maintain consistency, transparency, and alignment with agreed project governance processes during a period of organisational change.
Key Responsibilities
Project & Governance Support
* Take responsibility for all workstreams to ensure the upkeep of all project logs, including actions, risks, issues, and dependencies, ensuring information is accurate and up to date.
* Act as main administrative support for all workstreams to coordinate the scheduling of project meetings, workshops, and governance meetings/boards.
* Be responsible for preparing meeting agendas, capturing minutes, and maintaining action logs, including the follow up on agreed actions with stakeholders as required.
* Be responsible for sharing all best practice and governance artefacts from the wider Project Management Office with all Project Managers, Change Managers and Workstream leads, including training where necessary.
* Be the project support link to the wider Project Management Office to ensure any Change Requests follow the correct governance route.
* Support communication and coordination across project teams, suppliers, and business areas to ensure information flows effectively.
Qualifications
* An understanding of Project methodologies and Project governance items.
* Experience in supporting or leading Project work.
* Experience in interacting with a wide group of people in a Project environment.
* Strong organisation and communication skills.
* Proficiency in MS Office, ideally MS Planner and MS Projects but not essential.
