Core Highways - Commercial Assistant - Milton Keynes

We currently have a vacancy for a Commercial Assistant to be based in our Milton Keynes office for 4 days per week with 1 day working remotely. Reporting in to the Commercial Manager this role will be responsible for supporting the commercial team in the effective administration and financial management of projects and contracts. This role plays a key part in ensuring accurate cost tracking, timely processing of applications and invoices and maintaining robust commercial records to support operational delivery and business performance. This is a National role and will require occasional travel.
Key Responsibilities:
• Assist in the preparation and submission of applications for payment and valuations
• Support the processing, validation, and tracking of supplier and subcontractor invoices
• Maintain accurate cost records, including purchase orders, accruals, and spend tracking
• Assist with cost value reconciliation (CVR) processes and reporting cycles
• Monitor budgets and flag any variances or discrepancies to the commercial team
• Maintain organised and up-to-date commercial documentation, including contracts, orders, and variations
• Support the administration of subcontractor accounts, including onboarding documentation
• Assist in managing change control processes, including recording and tracking variations
• Raise purchase orders in line with company procedures
• Liaise with suppliers and subcontractors to ensure timely delivery of goods and services
• Support the procurement team with data collation, supplier queries, and compliance checks
• Work closely with operational teams to ensure accurate capture of works completed and associated costs
• Provide administrative support to Commercial Managers and Quantity Surveyors
• Build effective working relationships with internal departments such as finance, procurement, and operations
• Input and maintain data within commercial and finance systems such as NetSuite
• Produce regular reports on costs, commitments, and project performance
• Ensure data accuracy and integrity across all commercial systems
Knowledge, Skills and Experience:
Essential:
• Previous experience in an administrative or commercial support role
• Strong numerical and analytical skills
• Good working knowledge of Microsoft Excel and other Office applications
• High attention to detail and accuracy
• Strong organisational and time management skills
Desirable:
• Experience within construction, highways, or infrastructure sectors
• Understanding of commercial processes such as valuations, CVRs, and subcontractor management
• Familiarity with commercial or finance systems (e.g. COINS, SAP, Oracle)
Qualifications:
• GCSEs (or equivalent) including Maths and English at Grade C/4 or above
• A-Level or equivalent qualification (desirable)
• Working towards or interest in a commercial qualification (e.g. RICS, CICES) is advantageous
