Groomfield Recruitment are looking for an Administration Coordinator for their client in Birmingham B19. This is a temporary to permanent opportunity over a minimum 6 month period Hours of Work: - Monday to Friday [37 hours basic per week] - General working hours between = 0900-1800 - You must be flexible to working between 0700-2000 at times due to business needs Rate of Pay: - Up to £15.70 per hour [Depending on experience] Job Overview We are seeking a highly organised and proactive Administrative Supervisor to oversee daily office operations and support our team. The ideal candidate will possess strong communication skills, excellent organisational abilities, and a solid background in administrative tasks. This role offers an opportunity to lead administrative functions, optimise workflow, and contribute to the efficiency of our organisation. The position is paid and requires a commitment to maintaining high standards of professionalism and service. Responsibilities Supervise and coordinate daily administrative activities within the office / warehouse environment Overseeing 2-3 teams to report returns, order processes, distribution admin team. Working with carrier associates for distribution processing orders and admin functions. Oversee the preparation and management of documents using SAP, as 400, Microsoft Word and Microsoft Outlook. Maintain accurate records and utilise Microsoft Excel for data organisation and analysis Manage correspondence through Microsoft Outlook, ensuring timely responses and follow-ups Having regular meetings with key stakeholders within the business both internally and externally Provide exceptional customer service to internal teams and external clients Support organisational initiatives by assisting with scheduling, meetings, and presentations Ensure smooth communication across departments by effectively disseminating information Assist in training new administrative staff and interns as required Monitor office supplies and organise procurement to ensure operational continuity Experience/Requirements Needed SAP - preferred, but not essential AS 400 systems - preferred, but not essential Proven experience in office administration or similar roles with strong organisational skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is essential Excellent communication skills in English; knowledge of Turkish is advantageous Strong customer service orientation with the ability to handle enquiries professionally Demonstrated IT competency with the ability to troubleshoot basic technical issues Previous experience in office management or supervisory roles is preferred Organised with the ability to prioritise tasks effectively under pressure Exceptional organisational skills with attention to detail Ability to work independently as well as part of a team This role is ideal for a motivated individual looking to utilise their administrative expertise in a dynamic environment.
