Administrative Assistant / PA (Freelance, Part-Time) for a community arts based CIC

Organisation:

Location: Hybrid (Remote & Occasional On-Site Work)

Contract
: Part-Time, Freelance

Salary
: £6,000 per annum total (£12.50 per hour)

Hours
: Approx. 10.5 hours per week (with flexibility to adjust during busy periods) 47 wks/pa. potential for hours / role to be extended in the future.

About Arts in Action CIC
Arts in Action CIC is a community-focused organisation (CIC) that uses the arts to support marginalised individuals, young people, and children who have fallen through the education system. Our work includes creative education programmes, community outreach, and commercial arts initiatives.

We are now seeking a proactive and highly organised Administrative Assistant / PA to help streamline our operations, manage essential documentation and support us in populating funding applications. This role is crucial in ensuring our team can focus on delivering impactful creative projects while maintaining efficient administrative processes.

Role Overview
The Administrative Assistant / PA will play a key role in supporting the ongoing day-to-day operations of Arts in Action CIC. The ideal candidate will be highly organised, detail-oriented, and comfortable working alongside a neurodiverse, creative team. They will assist with emails, contacts, invoicing, general admin, communications, report collation, as well as helping with our grant applications and tenders. This will likely be hybrid, so some time in the studio office and possibly some from home.

Flexibility and an ability to adapt to a dynamic working environment are essential.

Key Responsibilities

Administration & Organisation**

* Manage and maintain digital and physical filing systems, ensuring easy access to key documents, policies, and contracts.
* Handle general administrative tasks, including scheduling, document preparation, and internal communications.
* Help with adding to and maintaining website and contact forms.
* Help with social media messaging, queries and posts.
* Process invoices and support financial record-keeping.
* Oversee stock checks / stock organisation and order supplies when necessary.
* Occasional times to help with organisaton tasks in the studio
- Funding & Tender Support- Help research and identify potential grants and funding opportunities.
* Assist in compiling and populating grant applications with relevant organisational information.
* Support the preparation of tenders, ensuring all required documentation is correctly formatted and submitted on time.
- Communications & Reporting- Act as a point of contact for customers, grant funders, and commercial partners.
* Occasionally, as needed, attend community events, online meetings, or in-person sessions when management is unavailable to gather information and represent the organisation.
* Help with compiling written reports and summaries as needed.
- Community & Inclusion- Occasionally assist at community events where admin support is required.
* Work effectively with understanding alongside neurodiverse individuals, ensuring a supportive and inclusive working environment.
* Be comfortable working around children, parents, and communities who may be experiencing neurodiversity, SEND, disability, mental health challenges, or other disadvantages.

Person Specification
Essential Skills & Experience:
Strong organisational skills, with experience managing files, policies, and contracts.

Excellent written and verbal communication skills, with a high standard of English grammar and the ability to. edit and structure documents.

Experience in administration, finance (invoicing), and general office management.

Use of Google docs, word, excel etc

Willingness to update or learn how to update Wix Website

Ability to check social media messages and reply as needed or post on to groups.

Ability to research, compile, and help with completing funding applications and tenders is an advantage

A flexible approach to work, with the ability to pool hours during busy periods.

A proactive attitude, able to work independently and take initiative.

A clear DBS check (as we work with children who are onsite).

Desirable Skills & Experience
:

Experience working in an arts organisation or community-focused charity/CIC.

Familiarity with funding applications for arts or community projects.

Understanding of working alongside neurodiverse individuals, particularly those with ADHD, ASD, dyslexia.

Knowledge of CRM systems, cloud-based file management ( Google Drive), and administrative software.

Additional Information
:

* Flexible working arrangements available (hybrid remote/onsite).
* Is Freelance working approx 47 weeks per year ( to be discussed)
* The role is part-time but has potential for additional hours as projects expand.
* All staff are subject to a probationary period.
* This is a flexible role, where the tasks differ from week to week, no week will be the same.
