Role Overview

T-SQUARED are looking for a Contracts Administrator to join our team at T-SQUARED Validair at our County Durham office. For over 30 years, Validair has provided premium validation, testing and consultancy services for cleanrooms and contamination-controlled environments.


The successful candidate will provide support to Validair in all aspects of office administration and customer report delivery. Ensuring that accurate data is delivered and communicated daily to the appropriate parties and that all planned, and allocated works are distributed on time, meeting the standards set by the Company and its Clients


This role requires strong analytical skills, attention to detail, and the ability to communicate effectively with various stakeholders.


Key Responsibilities

· To perform reception duties, including answering the telephone, dealing with incoming/outgoing post/deliveries, maintaining stock of stationery supplies etc.

· To assist the Contracts Coordinator with preparation of job packs for Engineers

· To control completed/returned job packs for report preparation

· To prepare reports for checking/approval

· To update customer drawings as necessary using Visio

· To coordinate the checking of reports by the Operations/Quality Managers

· To issue final approved report to customer

· To maintain and update the Job Pack Register with report issue status and KPI data

· To maintain and update the Report Register with report issue status and KPI data

· Keep filing up to date and maintain tidy appearance of the office


Daily Tasks

· Support the Contracts Coordinator with day to day tasks, as required

· To participate in meetings, conferences, and company team activities where required

· Adhere to stated policies, procedures and responsibilities relating to health and safety, and quality management

· Adhere to procedures relating to the proper use and care of equipment and materials for which the role has responsibility.

· Answer telephones and log information on calls received, where required and maintain detailed and accurate records.

· Operate a variety of standard office machines, including but not limited to a personal computer, a variety of computer software, phone, calculator, shredding machine and photocopy machine.

· Communicate and liaise in a professional manner and interpret and respond clearly and effectively to spoken requests over the phone or in person, and to verbal or written instructions.


Required Attributes

· A self-motivated individual, looking to develop and progress within a successful Company.

· Understand and work to an excellent level of customer service.

· The ideal candidate will have experience and be proficient with Microsoft packages, IT systems and databases and possess strong organisational abilities.

· Maintain regular consistent and professional attendance, punctuality and personal appearance

· Establish and maintain effective working relationships with co-workers, supervisors and clients

· Maintain knowledge and willingness to learn and investigate as required


Job Type

· Full-time, Permanent


Pay

· £27,000 per annum
