What's involved with this role: Administration Officer Job Ref: Durham 5284360 Pay Rate: £13.05 per hour PAYE Hours per week: 37 Monday – Friday, normal working hours This opening assignment is for 1 month Standard DBS required On site Summary of what the candidate must have to apply : NVQ Level 2 in Business Administration or equivalent qualification. Experience taking accurate notes/records for statutory professional meetings. Strong administrative experience including diary maintenance, meeting arrangement and record keeping. Good IT skills including Word and Excel. Ability to communicate professionally with service users, partner agencies and internal teams. The role: The postholder will provide administrative support to the Quality and Review Team, ensuring consistent and effective coordination of statutory meetings for children and young people. The role includes arranging and preparing meetings, taking high quality notes, managing diaries, maintaining accurate information systems and supporting professional staff with documentation and communication requirements. Key accountabilities: Arrange, prepare and attend Child Protection Conferences, Looked After Reviews, Foster Carer Reviews and related meetings. Manage allocated work, ensuring all paperwork and invitations are received within required timescales. Take high quality notes of reviews on a laptop and circulate within agreed deadlines. Confirm attendance of all relevant parties and ensure rooms and arrangements are prepared appropriately. Use IT systems including Word, Excel and Teams; learn new systems to improve service delivery. Align and coordinate diaries for IROs and relevant staff. Escalate issues and concerns promptly to the IRO. Maintain communication with the Quality & Review Allocations Officer and Support Assistants to ensure adequate clerical cover. Maintain and update information systems, quality assurance records and performance data. Attend meetings and produce accurate records in line with procedural and legislative timescales. Assist with development and maintenance of processes, schedules and workflow. Deputise for the Quality & Review Allocations Officer when required. Liaise professionally with partner agencies and ensure documentation for reviews is gathered on time. Ensure travel arrangements for Reviews are cost effective. Attend relevant working groups as required Requirements/key criteria: NVQ Level 2 in Business Administration or equivalent. Experience note taking and recording information for statutory or professional meetings. Strong clerical/administrative experience including diary management and meeting arrangements. Effective communication skills, both written and verbal. Experience using IT systems, particularly Word, Excel and databases used within the service. Customer focus and ability to communicate professionally with service users and partner agencies. Ability to work independently and as part of a team. Strong time and cost management skills and ability to prioritise workload. Flexible attitude to work and willingness to support team members to meet deadlines. Understanding of the need for confidentiality and accurate information handling. Desirable: NVQ Level 3 in Business Administration or BTEC National in Public Administration. Experience within Children’s Services. Experience taking notes directly onto a laptop. Understanding of Children’s Services functions. Experience working with performance monitoring systems.
