This position is for a Ward Clerk Float to work and provide cover for all surgical wards within the Surgery Division. The purpose of the Ward Clerk is to ensure that all patients admitted have all relevant documentation in place on arrival, ensuring that the Trust's electronic systems are kept up to date and that key elements of the patient's pathway are recorded on the relevant systems, ensuring the patient's pathway is correct on arrival and discharge.
This role is to work 37.5 hours Monday - Friday, including bank holidays.
Key Responsibilities:
1. Greet all patients/visitors to wards & departments and allow access via any electronic entry system.
2. Ensure that all potential overseas visitors are identified and registered on CAMIS.
3. Answer the ward/reception telephone promptly, take messages, and redirect calls as necessary.
4. Perform data entry regarding all attendances outside clinic/telephone consultations.
5. Use the CaMIS Tracker system to locate, request, and collect patient's case notes for planned and unplanned admissions.
6. Maintain an up-to-date location status for patient's case notes using the tracker system throughout the patient's stay.
7. Open and distribute ward/department mail and redirect post where necessary.
8. Collect patient notes from case note release/hospital shuttle buses.
9. Use clinical IT systems to input and extract patient and nursing information.
10. Perform general photocopying/scanning and copying of case notes, when requested, for patient transfers to other hospitals.
11. Attend all mandatory training in accordance with Trust policy.
12. Participate in the Trust's Annual Performance Development Appraisal and Review.
13. Be aware of the Trust's policies, procedures, and disciplinary rules.
14. Undertake any other duties assigned by the Ward/Admin Manager/Team Leader.
