Overview
An exciting opportunity for a secondment / fixed term contract as a Part time Admin Hub Lead at Basildon and Thurrock Hospitals, with day to day responsibility for the management of the Administrators working in the South Administration Team. The successful applicant will be required to carry out regular supervision and appraisal as well as probation meetings as applicable and the day to day management and allocation of tasks within their area of responsibilities.
You would provide Administrative support primarily for the clinical staff and general administrative duties and responsibilities.
The vacancy is a secondment and will require agreement from your line manager to release you. If you are an external candidate, the role will be a fixed term contract.

Responsibilities
* Provide day to day management and supervision of Administrators within the South Administration Team.
* Carry out regular supervision, appraisal, and probation meetings as applicable.
* Provide Administrative support primarily for the clinical staff and general administrative duties.
* Answer calls via phone and email and process messages appropriately.
* Take meeting minutes and transcribe when necessary as agreed with the Administration Team Leader.
* Receive referrals and ensure they are screened effectively and efficiently; book appointments and write letters; perform general office duties; cover receptions as needed.
* Accurately take minutes and type general administrative correspondence using the Microsoft Office Professional Suite.
* Answer and deal with client/patient telephone enquiries confidentially and helpfully, routing enquiries to appropriate staff (clinical and non-clinical).
* Maintain and operate an Appointment System for all services providing appointments within the community; book transport when necessary using Trust and partnerships information systems.
* Prepare and process documents relating to Mental Health and Specialist Services, including photocopying and handling postal collections/deliveries.
* Provide cover across sites to support colleagues within the Community services and the Administration Service when required.
* Ensure electronic and written records and systems for patients and staff are accurately maintained.
* Support primarily for clinicians as well as general administrative duties and responsibilities.
