Operational Leader – Edinburgh
Location: The Action Group, The Prentice Centre, 1 Granton Mains Avenue, Edinburgh.
Job Type: Permanent (Full‑time). Hours: 39 per week. Salary: £31,500 – £33,045 per annum (pro rata).
About The Role
The Operational Leader manages Care at Home and Housing Support Service operations for both children and adults. The role focuses on rota management, income and expenditure, the efficient processing of business‑critical information, and staff wellbeing.
Key Responsibilities
* Collaborate with the Wellbeing & Practice Lead to onboard new staff in a safe, positive environment, ensuring accurate record keeping.
* Use Access People Planner to create and maintain accurate staff rotas in line with Action Group policies, procedures and legislation such as the Working Time Directive.
* Ensure sufficient coverage for all support sessions and service requirements, adjusting the rota as needed based on demand and staff availability.
* Plan rotas to support the work‑life balance of frontline employees, ensuring A/L and TOIL are authorised and processed correctly.
* Maintain accurate records for individual TOIL and ensure contracted employees are paid accurately for overtime in compliance with NMW legislation.
* Oversee casual workers, ensuring their availability meets delivery needs, that training and development are provided, and that absence is recorded and managed effectively.
* Generate financial reports, manage team budgets and authorise payments for supervision, overtime, casual support workers and agency timesheets.
* Work with Finance and Payroll to ensure accurate billing and staff reimbursements.
* Support recruitment, identifying needs, collaborating with HR/Recruitment, designing adverts, shortlisting, interviewing and promoting the role.
* Maintain risk assessments, lone‑working safety plans and participate in the on‑call rota with related leads.
* Support operational improvement by monitoring performance data, identifying improvement areas and providing reports to senior staff.
* Maintain effective communication with wellbeing and practice leads and other operational staff regarding scheduling and rota management.
Qualifications and Skills
* Experience in rota management and scheduling software (e.g., Access People Planner).
* Strong organisational and time‑management skills.
* Data‑driven mindset with excellent Excel skills.
* Team‑player able to collaborate with operational leads and support staff.
* Knowledge of social care funding dynamics, regulations, and best practices.
* Leadership and coaching skills for staff wellbeing and development.
