Job Purpose:
Investment Managers' Assistants are responsible for actively supporting investment managers in their daily business across wide-ranging administrative and organisational functions. Providing an accurate and efficient service helps maintain a strong relationship between the investment manager and the client.
The ideal candidate will provide a high standard of administrative support to a successful investment management team. The candidate will work for a small but busy team of investment managers responsible for a range of discretionary and advisory clients.
This is a non-regulated position supporting a team of investment managers in looking after their clients. The primary role is in assisting with administration of portfolios and client records, handling client queries, and liaising with the Operations department. While the individual will assist in managing private client relationships, this role is primarily administrative.
Key Areas of Responsibility:
* Providing a full range of administrative services for the team.
* Maintaining the office's cleanliness and tidiness.
* Processing outgoing/incoming Royal Mail post.
* Ensuring the office has adequate stationery, including recent account opening forms and marketing materials.
* Answering calls, transferring calls, taking messages, and recording notes on client files.
* Maintaining records such as the H&S log, Financial Promotions log, Safe log, and Complaints log.
* Scanning, shredding, and photocopying documents as needed.
* Preparing, printing, and providing investment managers with documentation for meetings.
* Preparing meeting refreshments and greeting clients.
* Ensuring valuations are produced and sent to clients within regulatory timescales.
* Complying with regulatory issues and promoting a compliance culture.
* Identifying ways to improve efficiencies.
* Keeping client information up to date and assisting in producing client suitability reports, which may involve direct communication with clients and intermediaries.
* Following the progress of new investments and resolving any issues.
* Liaising with the accounts department over cash movements and administering payments, including currency payments.
* Managing client files, ensuring all information is current and accurate.
* Adhering to compliance regulations.
* Managing special projects, such as collecting KYC information.
* Preparing documentation for potential new clients.
* Providing MI to support client suitability processing.
Qualifications & Experience:
* GCSEs or equivalent including Maths and English; A levels are preferable.
* An industry-recognised qualification such as an Investment Operations Certificate is advantageous but not essential.
* Experience in a similar environment and a general understanding of the stock market and investment operations are preferable.
Knowledge & Skills:
* Good communication skills, both written and verbal.
* Highly organised and numerate.
* Ability to work under pressure with attention to detail and accuracy.
* Proactive problem-solving skills and initiative.
* Strong team player with flexibility to support different working styles of investment managers.
* Enthusiastic, personable, with a positive attitude.
