Job Description

Temporary Personal Assistant - SC clearance needed

6 month assignment with possible extension

£15.94 per hour - Hybrid working pattern

Purpose of job

To support the delivery of key business priorities and help to build and develop a strong business management ethos to deliver an excellent service.

The Business Management Personal Assistant provides effective and efficient administrative support to the Deputy Director and Team assisting with administrative tasks, recruitment and induction for new team members.

Key Task Areas and Duties:

1. Dedicated Executive/PA support
2. Email management for Director/Deputy Director
3. Diary management for Director/Deputy Director and wider team
4. Drafting correspondence on behalf of Director/Deputy Director
5. Management information (commissioning reports, collating team entries for Weekly Briefing to Perm Sec, Staff in Post, CMS compliance etc)
6. Set up and administer all SLT/team meetings and stand-ups (compile agenda items, progress actions, summarise a redacted version for division) and help with away-days/training events
7. IT support/training for Director/Deputy Director and wider team
8. On-boarding new starters (new starter forms, arranging IT etc)
9. Meeting/Room booking
10. Taking minutes (non-casework)
11. Releasing time on CMS for team members where required
12. Dealing with Omnidox/finance queries
13. Support for corporate events relating to Director/Deputy Director's corporate roles
14. Updating team email distribution lists
15. Bonus award support
16. Book in/escort guests
17. Printing meeting papers
18. Expense claims and travel bookings (non-casework)
19. On team rota for dealing with hard copy post
20. On team rota for New Proceedings Inbox or TSol inbox, as required
21. Support BM colleagues (eg. cover periods of leave)
22. Stationery co-ordinator for team
23. Ad hoc administrative tasks as required
