Venesky-Brown’s client, a public sector organisation in Edinburgh, is currently looking to recruit an International Projects Assistant for a temporary one month contract, on a rate of £15.14/hour PAYE. This role is based full time on site in Sighthill.
Responsibilities:
- Dealing with a wide range of administrative tasks to support international operations and international recruitment and on-going support.
- Assisting with arrangements for incoming groups, including accommodation, catering, transport, social programme and induction.
- Assisting with arrangements for international programmes delivered online.
- Liaising with internal colleagues to ensure smooth delivery of international projects.
- Liaising with international clients, agents and customers in advance of programme start date to gather information required and make necessary arrangements for programme delivery.
- Providing a consistently high level of customer service support.
- Answering email, telephone and in-person enquiries.
- Processing course applications and preparing offer letters.
- Supporting the induction for groups, including preparing pre-arrival and arrival information, preparing and delivering induction presentations.
- Organising social programme activities, including booking activities and transport, and making payments in line with budgets.
- Leading social programme activities.
- Gathering and responding to feedback
- Supporting the Accommodation Officer with coordinating homestay placements.
- Supporting other International team members to ensure that programme provision is in line with British Council Accreditation Scheme criteria.
- Supporting customers with sourcing volunteering opportunities, including liaising with charities, promoting opportunities, and facilitating activities.
- Sourcing, scheduling, and posting content to the International Team’s social media channels.
- Assisting other International team members to update current and develop new promotional and marketing materials (brochures/posters/videos etc) related to international projects.
- Making travel arrangements for international and staff working overseas.
- Facilitating payments and updating records of income and expenditure in line with Finance procedures.
- Organising / ordering / monitoring resources.
- Suggesting and implementing improvements to systems, materials and procedures.
- Supporting the other activities of the International Team as required
Essential Skills:
- Experience of working with people from a range of cultural and international backgrounds and non-native speakers of English
- Experience of providing customer service and support
- Experience of data input and administrative skills
- Educated to HND level or above.
- Strong IT skills including a working knowledge of Microsoft Office
- Strong oral and written communication skills including strong presentation skills and the ability to adapt to non-native speakers of English
- Tact and diplomacy to be able to provide welfare support in sometimes sensitive situations
- Attention to detail and ability to organise information
- Ability to work to own initiative and to prioritise workload especially at short notice
- The post holder should be flexible and responsive to change, as tasks may change as the activity of the team evolves and develops
- The post holder may be required to work at different locations within Edinburgh.
- Annual leave restrictions will apply during the peak period for international projects (June – August).
- A flexible approach to working hours is required, and some weekend and evening work will be necessary.
Desirable Skills:
- Knowledge of Edinburgh and Scotland local information and contacts
- Knowledge of the sector
- Knowledge of UK visas and immigration legislation
- Knowledge and awareness of cultural differences
- Working knowledge of one or more relevant foreign languages
