The Artwork Coordinator role is a new position, intended to support and expand the growing, business-critical High Value Works of Art section of our client's business. The role demands specialist knowledge of specific customs procedures, specialized handling knowledge, and often complex booking arrangements.

Previous experience in the air import sector is desirable, including Customs entries using CDS. Candidates with relevant experience in customs and freight forwarding will be considered.

The client has airport passes allowing oversight of freight in the cargo shed and on the tarmac, watching the unit being loaded onto aircraft. The role involves meeting passengers in the terminal, assisting through customs clearance, and supporting various airport activities. Full training will be provided.

Working collaboratively within a small team, excellent communication skills, attention to detail, and organizational abilities are essential. The role requires direct communication with customers and a friendly, professional demeanor.


Key Responsibilities

1. Assisting with general administration of the Artwork Section.
2. Data entry in NetFreight and Descartes systems.
3. Checking paperwork for accuracy to ensure proper documentation for customs entries.
4. Assisting with customs documentation and entries, both import and export.
5. Developing knowledge of air, sea, and road freight markets and procedures.
6. Handling airline bookings and preparing export documentation.
7. Obtaining rates for quotes on exports/imports from airlines.
8. Handling original documents such as licenses, ATA Carnets, and CITES in compliance with legislative requirements.
9. Liaising with the Transport Department for collections, deliveries, and airport transfers.
10. Supporting the business to maintain a positive working environment aligned with company culture and values.
11. Travel to Heathrow area airline handling sheds, HMRC, Border Force, and other on-airport activities as needed.


Training & Development

International Freight Forwarding Experience, including UK/EU Customs functions, is essential. Strong knowledge of import/export laws, CDS, CHIEF, CFSP, and NES systems is required. Proficiency in MS Office and CRM software, along with organizational and communication skills, is necessary. Experience with ATA Carnets and CITES documents is advantageous.

The role is primarily import-focused and more air freight-oriented, though experience with other modes is beneficial. Hours are Monday to Friday, 9 am to 5:30 pm, with some flexibility. A valid driver’s license is essential.
