Job Summary

The CELF Compliance Administrator is responsible for providing clerical support to the CELF team. This involves managing and maintaining all systems involved in the compliance with Metroline Operating License commitments. The Engineering Administrator will report directly to their appointed Chief Engineer/Engineering Director for all Compliance/DVSA related duties. To keep digital (on-line) tax records/payments correct with the DVLA database, raise cheques and obtain petty cash in relation to taxing of vehicles if necessary, obtain duplicated tax discs, duplicate Certificates of Initial Fitness (COIFS), top up MOT fee account and driver penalty charges tickets, collate monies from the Central Engineering and Logistics Facility (CELF) Authorised Testing Facilities and pay into Metroline bank account.

Maintain and update the Company fleet lists, including operator licence records and related documentation in line with Department of Vehicle Standards Agency (DVSA) guidelines.

Ensure accurate records are kept of operator licence discs and their allocation to vehicles, managing renewals and assisting with replacements.

Check the DVLA database and track MOT date compliance across the fleet.

Assist garages with all fleet related queries including trade plates and vehicle movements.

Maintaining databases such as the Motor Insurance Bureau, Company Vehicle Insurance and Vehicles entering the Congestion Zone.

Assist in booking 3rd party repairs for leased vans/cars.

To deal with all matters relating to Congestion Charging for all company

To maintain records relating to vehicles as required and to ensure all appropriate Government bodies are advised accordingly i.e. to ensure sufficient funds are available for tests, to ensure relevant information e.g. monthly reports are sent to Transport for London (TFL) and to inform DVLA of any vehicles currently off road, sold or scrapped.

To pass on relevant information to garages from either local councils or police in relation to driving offences.

Maintain the Engineering Directors diary and provide administration support to management when required.

Liaising with Head Office departments regarding engineering.

General Administration duties, including Archiving.

Any additional tasks as agreed with the Chief Engineers or Engineering Director.

Provide cover for CELF Administrator, if necessary.

Computer Literate with excellent knowledge of Word, Excel and Outlook computer packages.

Previous experience in an admin role.

Previous experience in payroll processing.

Excellent written and spoken English with the ability to communicate clearly and at all levels.

Excellent attention for detail.

Ability to operate as a team player.

Ability to work well under pressure.

Ability to take accurate minutes of meetings.

Highly organised, motivated, and able to prioritise workload. Exceptional customer service skills with a natural flair of providing support and guidance and going ‘the extra mile’.

· Ability to use initiative and identify solutions when a problem or difficult situation arises.

· Discreet when managing confidential matters.

· Ability to collate and interpret statistical data.

38 hours per week, Monday to Friday

Essential Criteria

Computer Literate with excellent knowledge of Word, Excel and Outlook computer packages.

Previous experience in an admin role.
