Assistant Estate Manager

Role Summary / Purpose and Scope
The Assistant Estate Manager serves as the first point of contact, supporting the delivery of high‑quality services and assisting the wider management team. The role ensures excellent client engagement and customer service, oversees the coordination of contractors, security personnel, and third‑party service providers, monitors expenditure, and ensures operations comply with current legislation and best practice standards.
Key Responsibilities
* Monitor statutory and internal compliance, instruct audits, assessments and specialist advice, align with service partners for control documents, log books and online management systems.
* Engage with occupiers, implement Customer Experience frameworks, improve occupancy satisfaction, retention, forums and placemaking initiatives.
* Partner with the Sustainability Team to develop and implement sustainability action plans, monitor resource consumption, improve recycling, and reduce carbon emissions and waste.
* Assist and complete various reports (monthly, quarterly, management or ad‑hoc), presenting them while adhering to legislative requirements including sustainability and health and safety.
* Deliver excellent communication via in‑person, phone, and email; manage time and organise tasks effectively.
* Manage soft services contractors and support the Building Manager with after‑hours building needs and activities.
* Undertake monthly building utility readings and ensure log centralisation.
* Complete daily fire safety checks, log centrally, and maintain accurate records.
* Use own initiative and support the company through flexible adaptation to changes in systems and role requirements.
* Effectively use PC skills, including Microsoft and Google packages.
Skills, Knowledge & Qualifications
* Minimum 2 years experience in a similar role.
* IOSH certification required.
* Member of IWFM desirable.
* Strong organisational and interpersonal skills.
* Proactive, flexible, and able to use initiative.
* Excellent written and verbal communication.
* Ability to manage budgets and monitor expenditure.
Working Hours and Salary
Monday – Friday, 9am – 5:30pm
Salary: GBP 40,000 – GBP 42,000 per annum, based on experience.
