Job Overview Are you organised, proactive, and passionate about supporting clinical teams to deliver exceptional patient care? We invite applications from motivated individuals to provide vital administrative support to our Consultants and junior medical staff. In this key role, you’ll ensure all documentation and data concerning patients and their treatment meets the highest Trust standards, supporting the smooth running of our busy clinical departments. Main duties of the job You Will Be Providing comprehensive administrative support to Consultants and medical teams. Managing your own workload efficiently, with excellent time management and planning skills. Handling urgent correspondence, medico-legal reports, and ad hoc requests in line with Trust policies. Maintaining patient confidentiality and managing secure storage of all medical records and computerised information. Scanning and uploading patient medical documents into the Trust’s Electronic Patient Record system. Assisting clinicians with communications via the Epic system, ensuring letters and attachments are accurately sent. Acting as a key liaison between clinical teams, patients, GPs, and other departments to provide a seamless service. Providing cover for colleagues during periods of absence, ensuring consistent service delivery. Answering telephone and email enquiries professionally and promptly, meeting departmental targets. Excellent communication skills, confident in liaising with a variety of stakeholders including clinical staff and patients. Ability to maintain strict confidentiality and work with sensitive information. Proficiency with IT systems and a willingness to learn new technologies such as Epic. Person specification Qualifications Essential criteria Good education to GCSE standard or equivalent experience ECDL or equivalent MS Word for Windows NVQ Level 3 Administration or equivalent practical knowledge Experience Essential criteria Experience of working in an office environment Competent with current software programmes (i.e. MS Word, Excel, PowerPoint) Be able to work in a busy environment and remain calm under pressure. Experience of working within a team environment Desirable criteria Working in the NHS either in a hospital/private practice/GP setting Provide general non-clinical advice Skills & Knowledge Essential criteria Logical reasoning i.e. providing/receiving routine/sensitive information requiring tact. Keyboard skills Ability to communicate clearly. Basic numeracy and literacy. Ability to follow clear instructions and feedback to senior staff. Ability to work with minimal supervision.
