JOB TITLE: Document Controller/Project Manager Assistant MAIN PURPOSE OF THE JOB: To manage the creation, storage, submission, and approval of internal and subcontractor documentation in line with contractual and project requirements. To support the Project Manager in ensuring successful project delivery. POSITION IN ORGANISATION: Reports to the Project Management Office (PMO) Manager Works in close partnership with a Project Manager SCOPE OF THE ROLE: Oversee the control of all project documentation from internal teams and subcontractors Create and revise documents for customer review and approval Conduct quality control checks to ensure compliance with internal and client document control procedures Contribute to the achievement of departmental and individual targets Participate in continuous improvement initiatives across the department DIMENSIONS & LIMITS OF AUTHORITY: Manages own workload effectively in line with project timelines Communicates directly with customers to resolve risks and opportunities related to documentation QUALIFICATIONS & SKILLS REQUIRED: Minimum of 5 GCSEs (A-C) or equivalent; A-Levels or equivalent are desirable Prior experience in document control within Engineering or Manufacturing is preferred Proficient in Microsoft Office applications including Excel, Word, and PDF editing software Highly organised with the ability to work independently Strong multitasking skills with the ability to meet deadlines Excellent communication skills, both written and verbal, with a customer-focused mindset High attention to detail and a commitment to quality standards DUTIES AND KEY RESPONSIBILITIES DOCUMENT CONTROL AND WORKFLOW (80%) Coordinate all project documentation produced by internal departments and subcontractors Prepare necessary documentation for customer kick-off meetings Create, revise, and submit documents for customer approval Maintain structured and accurate filing systems with proper revision control Ensure timely and accurate distribution of documents internally Track and expedite document review processes Prepare documentation for inspection activities Assemble and issue final documentation packs CONTINUOUS IMPROVEMENT (10%) Participate in improvement projects and contribute to ongoing process enhancements Help achieve department and personal performance goals Review and update work instructions and procedures regularly Take ownership of personal development and training in consultation with your line manager Engage in agreed learning and development opportunities relevant to the role MEETINGS (5%) Attend internal meetings such as order reviews, change control, gated reviews, and training sessions Join relevant customer meetings including kick-off meetings, inspections, and project reviews METRIC MANAGEMENT (5%) Track and maintain department performance metrics Maintain and report on individual performance metrics on a weekly and monthly basis
