About The Role
FM Service Account Manager will be involved in all aspects of day‑to‑day operations of the customer’s property portfolio, including accounting, maintenance and repair, security, janitorial services, front of house etc. FM Service Account Manager will handle all service requests and act as first point of escalation and assist in the preparation of the annual budget and management reporting and must have strong compliance background.
FM Service Account Manager will be supporting management’s efforts in the day‑to‑day maintenance and implementation of policies, procedures and programs that will ensure a well‑managed, well‑maintained estate and deliver safe working environment for client staff, visitors and contractors.
Health & Safety Purpose: To ensure delivery of the clients Health & Safety policies and ensure that systems and procedures are compliant with legislation and OCS policies and deliver a safe working environment for staff, contractor and visitors.

08:30am to 17:00pm
Key Responsibilities
* Liaise with coordinators at multiple sites.
* Ensure sufficient staffing for business hours and approve assist the Regional Operations Manager with Out of Hours operating requests as required.
* Ensure that contract Facilities Services are fully compliant with statutory regulations in addition to OCS and customer policies and procedures.
* To ensure maximum optimisation of the client’s office space, project manage all office moves and department restructures throughout the customer’s property portfolio.
* Coordinate all facilities services suppliers both internal OCS and external third party.
* Ensure all Suppliers are engaged in line with the Customer and OCS Procurement Policies.
* Responsible for delegating tasks required for property maintenance & repair to contractors and maintenance staff.
* Develop strong working relationships with site coordinators and neighbours in order to liaise effectively with them on behalf of the customer.
* Ensure all Suppliers are managed in line with OCS and our customer’s Procurement Policies.
* Responsible for managing the day‑to‑day facilities budget.
* Maintain records for AB works along with billing to completion.
* Raise and manage all POs and customer invoices for the Facilities Budget.
* Provide Monthly Management Information and performance reports for customer and OCS management.
* Provide supporting information for Quarterly Review.
* Directly supervise all facilities services staff; security officers, receptionists, asset admins.
Health and Safety Duties
* Maintain a facilities Business Continuity & Pandemic Plans.
* Act as customer’s Health and Safety Representative and champion safe working practices throughout the supporting and advising department heads in all H&S matters.
* Maintain the customer’s RCSAs (Risk Control Self-Assessment) records.
* Update and maintain all facilities Policies in line with legislation and the customer’s Governance programme.
* Take responsibility for ensuring that PPM Maintenance is scheduled and completed monthly.
* Ensure compliance with the Risk Management Framework.
Scope of the Role
* On time, monthly & quarterly management reporting.
* Annual audit compliance with no non‑conformances.
* Timely Purchase Order management and supplier invoice and payment.
* Accurate and timely billing and reconciliation of our customers accounts.
* Budget management with on‑target profit and loss achievement.
* Monthly staff performance monitoring and annual appraisals.
Education Level
* A Level or Equivalent level.
Professional Qualifications
* Recognised qualification in Facilities Management e.g. BIFM or CMI.
* Recognised Health and Safety qualification – IOSH (Training provided if required).
* SIA Licensed – Non front Line (preferred but training and accreditation provided).

* Good communication skills able to interact effectively with peers, direct staff, suppliers, and our customer’s representatives.
* Detail oriented and accurate especially with numbers.
* Ability to work with staff in solving problems and ability to take direction and function as part of a team.
* Excellent people skills able to motivate and inspire colleagues, reports and suppliers.
* Ability to work with various computer packages like Excel, Outlook, PowerPoint and MS Word.
