Job Title: Administrative Assistant
Location: Saltend Chemicals Park, Hull, HU12 8DS
As an Administrative Assistant at Saltend Chemicals Park, you'll be essential to the smooth operation of the site, handling a wide range of administrative tasks. Your organizational skills will ensure efficient behind-the-scenes operations and provide support to our managers.
What You’ll Do:
* Maintain a polite, courteous, and friendly manner towards the public, clients, visitors, and all Chemicals Park Partners.
* Manage and escalate onsite faults, damages, and hazards following security procedures, hazard observation, and fault management protocols.
* Remain alert to onsite activities to minimize risks through prompt action and escalation to the Security Manager/Supervisor and SSM.
* Report suspicious persons, vehicles, items, or activities immediately to the Security Manager/Supervisor and SSM.
* Stay fully informed of Sodexo documentation, including assignment instructions, site procedures, health & safety briefings, and risk assessments.
Administration:
* Issue and manage access cards for Chemicals Park Partners using SO115.
* Be familiar with onsite security systems (C cure) ensuring accurate data entry.
* Handle telephone inquiries as needed.
* Manage break times effectively, noting Sodexo does not provide smoke breaks.
* Attend training courses to develop skills and meet contract standards.
* Understand weighbridge operations, verifying delivery and receipt documentation.
* Be familiar with procedures for releasing custom notes.
* Use the intercom system to assist with access requests remotely.
* Maintain accurate shift logs and daily occurrence records via SPO in G2 and M120.
* Conduct site inductions and manage visitor notifications.
* Ensure drivers are aware of site procedures and destinations, providing maps if necessary.
* Perform other site-specific duties as directed by the Security Manager.
Health & Safety:
* Report safety concerns immediately to the Security Manager/Supervisor and SSM.
* Maintain a clean and safe work environment.
* Report damaged or unserviceable equipment.
* Cooperate with Sodexo and the client to comply with health and safety legislation.
* Do not interfere with property, equipment, or systems recklessly or intentionally.

* Strong team spirit and excellent interpersonal skills.
* Ability to prioritize and remain calm under pressure.
* Previous experience is preferred but not essential; strong computer skills and adaptability are valued.
