Helpdesk Administrator
Location: Office-based (Mon–Fri, rotating shifts)
Salary: £24,570 per annum
The Role
Branta Recruitment is seeking an organised and customer-focused Helpdesk Administrator to join our client’s busy facilities support team. You will be the first point of contact for logging, allocating, and tracking maintenance and service requests across a portfolio of commercial clients.
Working as part of a close-knit office-based helpdesk team, you’ll ensure all planned preventative maintenance (PPM) and reactive jobs are processed efficiently, while providing outstanding customer service and administrative support.
Shift Pattern
*
Monday – Friday: 8-hour shifts between 8:00 am – 8:00 pm
*
Rotating shifts: 8-4, 9-5, 10-6, 11-7, 12-8
Key Responsibilities
*
Logging calls and jobs into the helpdesk ERP system.
*
Allocating work orders to the reactive engineering team.
*
Placing product orders with approved suppliers.
*
Managing the PPM schedule and ensuring reactive maintenance jobs are prioritised.
*
Monitoring KPIs and SLAs to ensure timely job completion.
*
Maintaining 100% compliance on client portals.
*
Updating electronic asset registers (warranty details, equipment location, supplier information, replacements, disposals).
*
Tracking job progress, ensuring engineer and service reports are completed.
*
Handling front-line complaints, escalating to line managers as necessary.
*
General administrative duties: filing, document distribution, spreadsheets, database maintenance, and generating ERP reports.
What We’re Looking For

Strong communication and interpersonal skills with a professional telephone manner.

Excellent time management and organisational abilities.
*
Ability to work both independently and as part of a team.
*
Proven customer service experience in a fast-paced environment.
*
Good working knowledge of Microsoft Office (Excel, Word, Outlook).
*
High attention to detail and strong data entry skills.
*
Minimum of 4 GCSEs (A–C) including Maths and English.
Additional Information
*
Our client’s portfolio includes sites housing vulnerable individuals, so a DBS check will be required.
*
Full training on ERP systems and internal procedures will be provided.
*
Health and safety awareness is essential, with adherence to company policies expected at all times.
