Overview of the job
This role involves administrative support within the Probation Service, ensuring staff and individuals on probation are supported through efficient processes and maintained within administration systems to meet team and divisional objectives.
All staff must demonstrate a commitment to equality and inclusion, adhering to policies related to the sensitive and confidential nature of the information handled. Some out-of-hours work may be required.
Responsibilities, Activities & Duties
* Maintain accurate records of people on probation and victim information on approved databases.
* Administer referrals and manage relationships with offender management, victims, intervention providers, and external agencies to promote positive outcomes and reduce reoffending.
* Prepare and collate case records and management information according to standards.
* Handle communications via telephone, email, and paper, and provide reception cover.
* Serve as a point of contact for specialist areas when needed.
* Deal effectively with individuals on probation, including those in crisis or displaying challenging behaviour, seeking support as appropriate.
* Arrange appointments and implement sentence plans.
* Carry out enforcement administration and manage petty cash and vouchers in line with financial procedures.
* Organise resources and facilities for case management activities.
* Report equipment issues and recommend improvements for resource management.
* Perform Visor administration tasks and support meetings, including preparing agendas and notes.
* Ensure activities comply with health and safety policies, conducting tests as required.
* Provide cover within the unit and other divisions as needed.
* Adhere to safeguarding policies and demonstrate pro-social behaviour, challenging anti-social attitudes.
