Overview
We're looking to recruit a PA/Sector Co-ordinator into our Middle East, India, Africa team in Newcastle. As an integral member of the geographical sector, the PA will provide their Head of Sector and wider team with a high level of professional administrative support.
Responsibilities
* Scheduling, organising and coordinating meetings, taking minutes as required and following up on action points
* Preparation and submission of expenses for the sector teams
* Preparing presentation material in conjunction with relevant colleagues using PowerPoint or other software as appropriate
* Diary and inbox management, opening and dealing appropriately with post as arranged with applicable colleagues
* Making travel arrangements via the designated travel management company
* Trip preparations and administration, providing the necessary support such as internal trip notification, collating of items raised, preparation of information packs, liaison with Member/Member support staff (where appropriate) to organise and/or confirm itineraries
* Assisting with the preparation of trip / visit notes
* Assisting with the arrangement of Sector awaydays, member and broker events, in coordination with marketing (as appropriate)
* Coordinating cover rotas
* Assisting with arrangements for visiting Members and guests including hotel reservations, restaurant bookings, itineraries, and travel as appropriate, booking meeting rooms, liaising with appropriate colleagues and any follow up tasks
* Arranging corporate gifts as appropriate and maintaining accurate record of gifts to avoid duplication
* Booking meeting rooms and desks
* Cover and support for other Sector Coordinators / PAs when out of the office or generally needed due to workload / capacity issues
* Maintaining the Sector’s intranet page, updating organisation charts and teams sheets as directed
About you
Skills/Qualifications/Experience
* Significant experience of working as a PA or secretary
* Experience of booking travel, arranging meetings and corporate entertainment
* A keen attention to detail and accuracy
* IT Literate with the ability to quickly adapt to new systems
* Efficient and effective administration skills

Salary starting from £35,000+, with scope to increase.
