Operations Executive & Executive Assistant to CEO/Founder
Up to £85,000 + Discretionary Bonus
Mayfair, Central London
5 Days Office
A demanding yet rewarding opportunity has arisen for a first-class Executive Assistant to work for a boutique investment bank in the heart of Mayfair. You will support the CEO/Founder in an EA capacity as well as oversee the operations of the small office. You will be well versed working to high standards, in a small and quiet office and happy to work in the office 5 days a week.
Key duties for the Executive Assistant
\t
* Full EA support to the Founder and CEO
\t
* Organise meetings and appointments, manage complex travel itineraries for the CEO and other staff members, and production of printed client presentations
\t
* Coordinate executive communications, receiving calls from clients and functional area providers, responding to emails, and interfacing with UK-based and international clients professionally and efficiently
\t
* Build and maintain effective working relationships with relevant functional support providers to the company across a variety of areas, including IT, Accounting & Finance, Regulatory & Compliance, Legal, Property Management and Recruitment, and wherever necessary, assist the CEO in supervising the work of these providers and driving results, including managing and coordinating special projects across functional areas

* Develop and sustain a level of professionalism amongst staff and clients, including being an ambassador for the company across the firm’s diverse client base
\t
* Manage expenses, schedule support provider invoice payments, and assist with end-of-quarter/ end-of-year reports
\t
* Oversee all office supplies and printers, manage utilities, maintenance, contracts, and lease agreements
\t
* Work in line with the firm’s compliance and regulatory requirements, assist with client onboarding processes, attestations, and operational and risk committee meetings
\t
* Maintain an organised filing system of electronic documents
\t
* Handle essential HR duties, including employee onboarding and coordinating performance reviews
\t
* Uphold the strictest levels of confidentiality and integrity
The ideal Executive Assistant
\t
* Significant experience as an Executive Assistant reporting directly to senior/executive management
\t
* Strong organisational, project management, and problem-solving skills with impeccable multi tasking and workload management abilities
\t
* ‘Start-up’ mentality and proven ability to work without supervision
\t
* Exceptional interpersonal and communication skills
\t
* Friendly and professional demeanour
\t
* Self-motivation, instinctive team orientation, and persistence
\t
* Strong attention to detail
\t
* Candidates with previous finance industry experience are preferred (e.g. investment banking, private equity, hedge funds, etc.)
\t
* Advanced Microsoft Office suite skills
