About us

We are looking to recruit a Senior Administrator into our Youth Service team. The role would include leading on the day-to-day administrative operations for the service with an administrator supporting you. The successful candidate will ensure all projects align with corporate policies and meet grant funding requirements.

The role involves adapting, implementing and overseeing administrative processes to support a diverse team working with young people across the Vale of Glamorgan. The Youth Service comprises managers, senior staff, and approximately 40 core team members who deliver a wide range of open-access and targeted projects, including support for vulnerable learners, youth clubs, homelessness initiatives, and post-16 NEET programs to name a few sections.

The lead administrator will play a central role in driving service delivery and ensuring compliance with audit standards, financial regulations, and procurement procedures.

About the role

Pay Details: NJC Single Status – Grade 5, SCP 8-12 £26,772 - £28,542 p.a.
Hours of Work / Working Pattern: 37hrs a week (Monday to Friday) 52 weeks of Year (Full Time)
Main Place of Work: Civic Offices, Barry, with a hybrid approach where possible

Description: We are on the lookout for a skilled and experienced Lead Administrator to join our dynamic team. We believe in pushing boundaries and improving our operations through actionable ideas. If you specialise in maintaining office systems, managing administrative staff, and providing effective communication, then, we’d like to meet you.

In this role, you'll play a pivotal part in our organisation, ensuring that our service operations run smoothly. You'll be responsible for leading, managing, and implementing administrative processes that ensure the service can be sustainable for young people across the Vale.

Primary Responsibilities:

1. Implementing and maintaining administrative systems for the service
2. Utilising administrative systems such as EMS ONE, Content Manager and Fusion, hereby enhancing efficiency and monitoring.
3. Collaborating with all council staff, internal and external partners, and wider teams to ensure smooth operations for the service.
4. Coordinating company meeting arrangements where necessary.
5. Handling office crisis situations in a calm and capable manner in line with existing processes and procedures.
6. Holding responsibility for petty cash account and a corporate purchase card, in compliance with council financial regulations.

About you

7. Experience and knowledge of corporate policy and procedures
8. Experience and knowledge of corporate financial regulations – petty cash systems, P-Card and processes
9. Experience and knowledge of managing and supervising staff (delegation of tasks and role)
10. Experience and knowledge of developing procedures and systems in line with policy and procedures
11. Experience and knowledge of audit policy and procedures
12. Experience of general administration tasks
13. Experience and knowledge of internal management information systems – I.e). I procurement, Oracle Fusion
14. Experience of key administration functions – absence monitoring, procurement, corporate accounts, financial year processes.
