Proactive Group has an exciting opportunity for an experienced Cleaning & Operations Manager to join our growing and friendly team.

Job Summary

Proactive Group — a dynamic, multi-division company providing Cleaning, Facilities Management, and Construction services — is seeking a highly motivated and experienced Cleaning & Operations Manager to oversee and manage the day-to-day cleaning and operational activities across the organisation.

This key role ensures the smooth running of our cleaning operations, supporting project delivery, staff performance, and client satisfaction. You'll work closely with our teams and clients to uphold exceptional standards, deliver operational excellence, and contribute to the company's continued growth.

* Key Responsibilities:

Fleet & Equipment Management:

* Supervise and coordinate the maintenance and scheduling of cleaning equipment.
* Ensure all cleaning equipment, tools, and supplies are properly maintained and in good working condition
* Coordinate scheduling, maintenance, and repairs of vehicles to guarantee operational efficiency.
* Ensure all vehicles are in optimal condition for efficient service delivery.
* Monitor and maintain inventory levels of cleaning supplies and equipment, and submit requisitions for replenishment as needed

Cleaning Contracts Management:

* Develop and maintain strong relationships with clients to address their specific needs and concerns.
* Negotiate and manage cleaning contracts with clients, ensuring compliance with agreed-upon terms.
* Oversee, monitor and manage cleaning contracts, ensuring compliance with service level agreements and make adjustments as necessary to meet client expectations
* Develop and implement cleaning schedules and procedures to ensure a consistently high standard of cleanliness.
* Supervise and train cleaning staff, ensuring compliance with established protocols.
* Conduct regular inspections to assess cleanliness levels and address any deficiencies promptly.
* Manage inventory of cleaning supplies and equipment, ensuring adequate stock levels.

Project Management:

* Plan and execute cleaning projects, ensuring timely completion and adherence to quality standards.
* Collaborate with the team to allocate resources efficiently and manage project timelines.
* Implement and enforce safety protocols to create a secure and healthy working environment.
* Oversee waste management processes, promoting recycling and sustainability initiatives.
* Handle and resolve any customer complaints or concerns related to cleaning services, ensuring a high level of customer satisfaction

Quality Management:

* Establish and enforce high-quality standards for cleaning services.
* Conduct regular quality inspections and implement improvement initiatives as needed.
* Collaborate with various departments to understand their operational needs and develop efficient solutions.
* Develop and manage the cleaning and operations budget, ensuring cost-effectiveness.
* Identify opportunities for cost savings without compromising quality and safety.

Staff Communication and Management:

* Address communication issues among staff and ensure a transparent flow of information.
* Manage staff issues with a fair and consistent approach.
* Build a cohesive and motivated team through effective leadership and team-building activities.
* Foster a positive and collaborative work environment through effective communication strategies.

Site Surveys and Sign Off:

* Conduct site surveys to assess cleaning requirements and provide accurate quotations and create effective cleaning plans.
* Obtain sign-offs from clients upon completion of projects and ensure customer satisfaction.

Team Building & Leadership:

* Develop and implement team-building activities to enhance employee morale and teamwork.
* Identify and address any interpersonal issues within the team proactively.
* Recruit, train, and mentor cleaning staff, fostering a positive and collaborative work environment.
* Conduct performance evaluations and provide constructive feedback to team members.
* Ensure effective communication within the team and address any interpersonal issues promptly.

Timings Management:

* Manage staff schedules to optimise efficiency and meet client demands.
* Monitor and adjust staffing levels as needed to accommodate fluctuations in workload.

People Management Skills:

* Demonstrate strong leadership skills in managing and motivating a diverse team.
* Provide coaching and support to enhance he professional development of team members.

Compliance and Regulations:

* Stay informed about industry regulations and compliance requirements related to cleaning and facilities management.
* Ensure that all cleaning and operational activities adhere to relevant health and safety standards.

Qualifications and Skills:

* Proven experience in cleaning and operations management.
* Strong project management skills.
* Excellent communication and interpersonal skills.
* Ability to conduct site surveys and manage client relationships effectively.
* Team building and leadership skills are essential.
* Experience in fleet management and logistics.
* Strong organisational and time-management skills.
* Problem-solving and decision-making abilities.
* Commitment to quality and customer satisfaction.
* Clean driving licence
