Main Responsibilities: To maintain accurate and up to date paper and electronic records To work with and on behalf of fee earners/business support To handle communication including telephone calls, letters and emails with external and internal customers To follow and comply with agreed processes and procedures To carry out general office duties To provide an effective internal/external postal service for the fee earners in the office To support in the archiving and scanning of files To provide support when needed to internal/external auditing processes To carry out reception duties as cover for the reception team, including greeting clients, making appointments and any admin duties associated with receptio To provide support to secretarial teams as and when needed The apprentice secretaries main day to day tasks are: Handling all telephone calls in a professional and courteous manner, ensuring all calls are directed correctly and messages get to the appropriate person Passing messages to fee earners promptly Ensuring all incoming post and faxes are sorted and distributed quickly and efficiently Giving clients information and proactively responding to client’s enquiries, as appropriate Operating the diary system efficiently including making appointments Making up new files Maintaining files, keeping them tidy and in order Ensuring that physical files reflect electronic files Closing and sending files for archiving promptly Scanning and maintaining the archiving system Photocopying and filing Ensuring all outgoing post is processed and ready for collection each day Carrying out general office duties, including filing, faxing, photocopying and emailing Typing, if required The training you will be getting Level 3 Business Administrator apprenticeship standard, with Legal Pathways, which includes: Functional Skills level 2 in maths, English and ICT.
