We are currently seeking a dedicated and detail-oriented Property Services and Health & Safety Administrator to join our team. In this role, you will play a crucial part in ensuring the safety and well-being of our residents by managing property services and health & safety procedures.
This post is full time working Monday to Friday and a Hybrid role working a minimum of 2 days in the office per week.
What you will be doing:
Health & Safety:
* Manage all health & safety records, including accident reports, investigations, safety monitoring, risk assessments, audits, reports, safety briefs, and safety practices.
* Assist with health and safety audits as needed.
Facilities & Asset Management
* Maintain up-to-date records of insurances, method statements, and risk assessments for suppliers and contractors.
* Coordinate insurance inspections, liaise with engineers and site management, and manage inspection reports on SharePoint.
* Arrange fire risk assessments, upload reports, and track action closure rates.
* Archive statutory compliance certificates and documents from contractors.
* Manage department vehicles, including lease details, service dates, MOTs, insurances, and driver info.
Finance Tasks
* Raise and process orders, ensuring correct coding and timely receipt.
* Handle invoices related to property, health & safety, utilities, and staff expenses.
* Set up new suppliers and accounts with procurement.
* Manage staff uniforms, PPE, and emergency stock.
Administration
* Archive department documents and maintain accurate records.
* Coordinate meetings, training, and take minutes as needed.
* Perform general administrative tasks like typing, printing, scanning, and laminating.
What we are looking for:
* Experience in property management or facilities administration preferred.
* Knowledge of health & safety regulations in the care sector is highly desirable.
* Strong organizational skills and attention to detail.
* Excellent communication and interpersonal skills.
* Proficiency in Microsoft Office Suite.
* Ability to work independently and in a team.
* A commitment to a safe and welcoming environment for residents.
